What you can do

Explain the amount on the order

A unit price on a customer order gives the team a starting commercial commitment. Individual order items explain the priced work posted against that order. Property Manager maintains the dated price lists, while Finance Officer prepares and reviews the financial entries. Keep the agreed price and the resulting charges understandable to the person answering the customer’s question.

The price list includes an effective start and end, a unit price and a minimum quantity. Order items carry a service date, description and amount. These records support different questions: which price basis applies to the request, and which charges have actually reached Posted status against the order.

How the work is organized

  • Review the effective price. Property Manager checks the equipment or product type used in the price list, its effective period and minimum quantity. Confirm the meaning of the unit before using the price for a customer commitment.
  • Prepare the charge. Finance Officer records an item description, service date and amount against the correct order. Draft keeps preparation visible while the team checks the supporting work and the customer’s agreed basis.
  • Post or correct deliberately. Authorized items move from Draft to Posted. A posted item that needs reversal follows the Voided path, preserving the original charge in the order history rather than silently changing what the team previously reviewed.

What to agree during setup

Agree the bakery’s price-list naming and the quantity represented by a unit price. Review how staff choose a price when effective periods overlap. The price schedule makes that overlap visible for Property Manager to resolve; the team needs a consistent answer before quoting a customer.

Decide how item descriptions should explain the work. A decoration charge should be recognizable when Finance Officer later compares the order with confirmed receipts. Also agree how a counter sale relates to an order item. If both records describe the same source charge, the reconciliation must identify that relationship before adding amounts together. Use an actual receipt to settle the accounting treatment.

Check the handoff on an actual case

A celebration order was agreed before a price change, and the customer later adds a separately priced item. Property Manager checks the date and commercial basis of the original commitment. Finance Officer prepares the additional charge with a description that makes the change clear to the customer and Operations Reviewer.

Before posting, compare the item with any counter entry for the same purchase. The same charge should not become a second obligation just because staff recorded it from another screen. If a posted item is wrong, follow the authorized void and correction procedure. Rehearse the final comparison using the original item, its correction and the actual receipt, keeping each status visible.

What your team sees

  • Price list schedule — Effective periods, unit prices and minimum quantities for the pricing review.
  • Order items awaiting review — Draft descriptions and amounts that need checking before posting.
  • Posted order items — Charges available for the order’s financial reconciliation.

Follow the work through

Counter sales and receipts explains how outlet activity reaches the same order. Order completion and cleaning uses the reviewed charges when preparing completion.
