What you can do
Know which station can take the next client
The chair record gives the shop a common reference for capacity and readiness. Property Manager maintains the chair number, chair type and capacity, then keeps its state aligned with the work taking place. Available, in service, Sanitizing and out of service have different operational meanings. Reception uses those meanings when deciding whether a confirmed client can move into the chair.
Service rate plans describe the chair type, effective start and end, service rate and minimum sessions. Property Manager uses that information when preparing the appointment’s rate. The planned visit keeps its own service rate, allowing the team to inspect what was recorded for that appointment when it reaches the payment review.
How the work is organized
- Capacity before confirmation. Check how many clients the appointment covers against the selected chair’s capacity. The confirmation path checks the booking interval as well. Increasing the chair capacity should reflect an actual operating decision by Property Manager.
- Readiness during delivery. Starting service puts the chair in service. Completion sends it to Sanitizing, where it remains until the inspection passes. Use out of service when the station is unavailable for use and make the next booking decision with that condition in view.
- Dated rate selection. Review the rate plan’s chair type and date window alongside its minimum sessions. Current service rates includes plans whose start and end dates bracket today. Compare the plan’s dates with the actual appointment date before choosing its rate for a future visit.
What to agree during setup
Give every physical station a recognizable chair number. Agree the chair-type names used in both chair setup and rate plans, including how the team distinguishes a regular cutting station from a treatment station when that distinction matters. Avoid changing names casually during the pilot; reception and Finance Officer need to identify the same chair arrangement.
Decide who checks sanitizing work and what evidence allows a chair to return to Available. The service ticket records assigned work and completion, while the inspection supplies the release decision. Agree who takes a chair out of use when a fault is discovered and how reception reviews any appointment already assigned to it.
Check the handoff on an actual case
Prepare chair A with its actual capacity and a rate plan that covers the pilot date. Record a requested appointment with an excessive client count. Property Manager should correct the request before it can be confirmed. Then use an eligible client count and review the intended rate against the plan’s dates and minimum sessions.
Run the appointment through service completion. The chair should enter Sanitizing even if the client has already paid. Complete the assigned cleaning work and inspect the station. Hold release when the inspection fails; after a passing inspection, review the move to Available before starting the next service. This rehearsal gives reception a concrete answer when a client arrives while the chair is still being prepared.
Also open a rate plan whose end date is earlier than today. It should be absent from Current service rates. Check a future plan in the same way, then review a plan covering today. Reconcile the appointment’s recorded rate with the plan covering its service date before confirming the visit.
