What you can do

Explain what happened to the request

A stock operation needs evidence that another person can follow. Review decisions retain the reviewer, revision, decision date and rationale. Operation receipts record the action, quantity and outcome under the stock request, with a failure reason when the work cannot proceed. Attachments retain relevant document links and their type for the same request.

The Inventory Supervisor uses this evidence when a reservation is rejected, a posting needs reversal or a quantity fails reconciliation. The Auditor can trace the request through its decisions and receipts without changing the result. This helps the team answer a specific question about stock rather than rely on a remembered sequence of screen actions.

How the work is organized

  • Decision history. Approved, Rejected, Returned and Escalated outcomes explain how the supervisor handled the request. The rationale should make the follow-up clear to the clerk working on that scope.
  • Operation outcomes. Recorded, Verified, Failed and Corrected receipt states distinguish the evidence being examined. The action and quantity identify what the receipt concerns, while the operation identity helps recognize a repeated request.
  • Quantity verification. Reconciliation compares posted stock movements with the authorized request quantity. A mismatch creates a failed receipt and leaves the request unchanged so the discrepancy can be investigated.

What to agree during setup

Agree what a useful rationale and failure reason should explain. The person reading it needs to identify the request, the quantity issue and the next responsible action. Use attachment titles and document types consistently so inspection evidence or a manifest can be found without guessing which link matters.

Set a review routine for failed receipts and returned or escalated decisions. Name the Inventory Supervisor who will investigate each exception, and keep the Auditor’s access read-only. Decide which documents should remain accessible for later review and how their links will be maintained. A recorded action should be examined with its saved effects before the team describes the request as verified.

Check the handoff on an actual case

Use a rehearsal request whose authorized quantity can be compared easily with its posted movements. Run verification and inspect the receipt alongside the request and ledger. Ask the Auditor to explain why the result is supported, including the relevant review decision and any attached document.

Next, test a quantity mismatch in the rehearsal environment. Reconciliation must create a failed receipt with a useful reason while leaving the request unchanged. Have the Inventory Supervisor investigate the mismatch through the correction or reversal path and retain the original evidence. Repeat the verification request using its stable operation identity and inspect how the prior result is returned. Agree the supported retry procedure before resolving similar exceptions in live work.

What your team sees

  • Failed Operation Receipts — Rejected or inconsistent operations with their quantity, action and failure reason.
  • Review Decisions Register — The reviewer and rationale behind each request decision.
  • Record Attachments Index — Supporting document links grouped with their parent request.

Follow the work through

Use posting and verification and correction and reversal to resolve the result while preserving its history.
