What you can do

Separate the decision from the outstanding action

The Clinical Reviewer examines a donation when the Clinical Coordinator places it in Awaiting review. The reviewer considers the collection interval, blood unit position and supporting evidence. A review decision records its note type, reason, decision date and named reviewer. Draft, Signed and Amended distinguish a decision being prepared from a recorded decision and a later correction.

Follow-up work belongs to the donor. Each action has a description, assigned team member, due date, completion date and status. That gives the Clinical Coordinator a way to identify who will resolve a question after the collection conversation ends. A completed follow-up action and a completed donation describe separate outcomes; review both before closing the case.

How the work is organized

  • Review preparation. The Clinical Coordinator places the collection in the review queue. The Licensed Clinician prepares the supporting entries so the Clinical Reviewer can examine the donation and explain a decision.
  • Decision recording. The Clinical Reviewer makes the human decision. The Licensed Clinician records the named reviewer, reason and decision date, then records the decision as Signed after the reviewer has confirmed it.
  • Follow-up ownership. The Clinical Coordinator or Licensed Clinician maintains the donor action and its assignee. Open, In progress, Completed, Escalated and Cancelled show how the work is being handled.

What to agree during setup

Agree what evidence the reviewer needs before accepting a completed collection. Define how the reviewer communicates a decision to the Licensed Clinician who records it. Confirm that a signed entry names the actual reviewer and contains the reason the team will need when returning to the case later.

Choose how the team describes follow-up actions and assigns due dates. Decide what Escalated means operationally and who receives the question. When a decision needs correction, use the Amended state and make the explanation understandable to the next person. Rehearse the distinction between correcting a decision and completing an outstanding donor action.

Check the handoff on an actual case

Place a rehearsal donation in Awaiting review while a supporting laboratory entry needs clarification. The Clinical Reviewer identifies the question. The Clinical Coordinator creates a donor follow-up action with a named assignee and due date. The donation stays in the review queue while the assigned person works on the clarification.

When the assigned person resolves the question, the Clinical Coordinator or Licensed Clinician records the action as Completed with its completion date. The Clinical Reviewer examines the updated evidence and approves the collection outcome when appropriate. The Licensed Clinician records the signed decision and the coordinator marks the donation Completed. Ask another reviewer to explain the outcome from the decision reason and linked donation. Finally, rehearse an unresolved action marked Escalated so the team can see which person still owns the next step.

What your team sees

  • Draft Review Decisions — Inspect decisions being prepared and check the named reviewer before recording a signed outcome.
  • My Follow-up Actions — Find donor actions assigned to the signed-in team member, including their due dates.
  • Follow-up Status Board — Compare ongoing, completed and escalated work during the coordination meeting.

Follow the work through

Use review and follow-up for the decision handoff. Return to unit processing and testing when the reviewer needs further laboratory evidence.
