What you can do

Explain the outcome from the records

A stock request can carry supporting documents, reviewer decisions and operation receipts throughout its lifecycle. Inventory Clerk attaches the evidence the team needs, while Inventory Supervisor records the rationale for decisions and follows discrepancies through the stock actions. Auditor can inspect the retained trail within the permitted scope.

Verification compares the request’s authorized quantity with its posted movement total. A mismatch produces a Failed receipt and leaves the request unchanged. The discrepancy stays visible for investigation instead of allowing an unexplained balance difference to pass as completed verification.

How the work is organized

  • Retain useful documents. Inventory Clerk names the supporting attachment and selects its type, such as Certificate or Manifest. Keep the document link attached to the correct stock request and organization. The upload time helps the reviewer understand when the evidence entered the operating record.
  • Keep the decision reason. Inventory Supervisor records the release decision with its rationale and revision. Returned and Escalated decisions should make the next action clear. The responsible team member and source request keep the inquiry attached to the actual case.
  • Verify the stock effect. Compare the posted movements with the authorized scope and inspect the resulting receipt. A failed verification needs an investigation and, where required, an authorized correction. Reversals retain the original movement and add a linked compensation.

What to agree during setup

Agree what supporting evidence the reviewer expects for a customs release proposal. Define the naming convention for a certificate, photograph or manifest so another operator can recognize it. Confirm who can open the document at its source and who maintains that source when a link changes.

Set the follow-up for a failed verification, including how Inventory Supervisor identifies the relevant movements and operation identity. Decide how a corrected quantity will be reviewed before another stock action is taken. Keep an earlier failure understandable after the later resolution has been recorded.

Check the handoff on an actual case

Use a rehearsal request authorized for 20 units but with posted movements totaling 15 units. Inventory Supervisor runs verification. Inspect the Failed receipt, its reason and the unchanged request. The team should be able to explain the discrepancy without altering the recorded authorization merely to make the check pass.

Resolve the case through the appropriate permitted correction, then compare the resulting posted quantity with the authorized scope. Keep the failed verification receipt alongside the correction evidence. Inspect which outcome an existing receipt describes before relying on it for the corrected case. If a reversal is required, retain its reference to the original movement. Repeating that reversal must return the existing compensation rather than changing the balance again.

Give Auditor the request and supporting evidence from a separate account. Ask them to identify the customs decision, posted effects, failed check and subsequent resolution. Confirm that the account can read the authorized trail while remaining unable to change its outcome.

What your team sees

  • Failed Operation Receipts — Failed events with their source requests, quantities and reasons.
  • Record Attachments Index — Supporting documents and links grouped by their request association.
  • Returned and Escalated Decisions — Review reasons that require follow-up before the case proceeds.

Follow the work through

Follow Correction and verification, or return to Customs review and release when the release decision needs attention.
