What you can do
Prepare the arrival handoff
Inventory Clerk records an inbound or outbound load with its load number and carrier. The dock door and seal number give the team useful receiving or departure context. Arrival time records the observed handoff when the carrier reaches the warehouse.
The load’s stops identify their sequence, storage location and appointment time. Planned, Confirmed, Arrived, Completed and Missed describe the stop position. The load record follows its own operating state from Scheduled through the relevant arrival, handling and departure work.
How the work is organized
- Identify the carrier movement. Inventory Clerk uses a recognizable load number and carrier name. The receiving shift should be able to distinguish similar arrivals and see the dock details before it begins handling the goods.
- Follow the stop sequence. Each stop carries an appointment and location. Keep the order understandable when a load visits more than one warehouse location. Record a missed appointment so the next person can distinguish an unresolved arrival from completed work.
- Record the observed handoff. Update arrival and handling states from operating evidence. The seal and dock details help the team investigate a discrepancy. Stock execution still follows its own authorized request and movement records during the warehouse handoff.
What to agree during setup
Agree how staff obtain the carrier reference, appointment and seal information. Define what Scheduled, Arrived, Unloading, Loaded and Departed mean in the warehouse’s operating routine. Confirm the time zone with App Administrator so the carrier handoff is interpreted consistently.
Decide who updates a missed stop and how that person informs Inventory Supervisor about affected stock work. Set the reconciliation procedure for physical load documents and the stock request evidence that the warehouse team is using. A clear load number helps people discuss the same arrival across those records.
Check the handoff on an actual case
Prepare a rehearsal inbound load called IN-204 with a carrier appointment at Bond Store A. Inventory Clerk records the dock door and expected stop sequence. When the vehicle arrives, record the observed arrival and check the seal information against the handover document.
Continue the load through the relevant receiving state and update the stop when its work is complete. Separately inspect the authorized request and posted stock movement for the received quantity. Inventory Supervisor should be able to explain the physical arrival and the inventory effect without assuming that changing a load label performed the stock action.
Now rehearse a carrier that misses the appointment. Record the missed stop and arrange the next operating handoff with the responsible team. Keep the observation available so another clerk understands why the receiving work did not happen at the expected time. Ask Auditor to inspect the permitted load and stop records.
