What you can do

Know what is free to reserve

Inventory Clerk can see a lot’s on-hand quantity without assuming all of it is free for another request. Existing held reservations already commit part of that stock. The reservation action checks eligible inventory after active holds are deducted and refuses a quantity that exceeds the remaining amount.

Lot records keep item, storage location and condition together. Available, Quarantined, Expired, Consumed and Blocked distinguish the recorded positions that staff need to examine. The expiry date and receipt date provide further context when Inventory Supervisor reviews which stock should support the next request.

How the work is organized

  • Inspect the lot. Inventory Clerk checks the item, location, lot code and recorded condition. Read the expiry information alongside the requested work. A matching item code alone is not enough to choose the stock for a release proposal.
  • Compare active commitments. The reservation action subtracts active held quantities from eligible on-hand stock. A successful hold records its quantity, expiry and request association. A rejected attempt produces a Failed operation receipt with the shortfall for follow-up.
  • Resolve holds when scope changes. Inventory Supervisor corrects or cancels the authorized request through its action. Held reservations are released so the free inventory reflects that change. Keep the reservation outcome visible when the team hands the request over for execution.

What to agree during setup

Agree how the team maintains lot condition and expiry evidence. Decide when a held reservation is consumed or released during the movement handoff. Inventory Supervisor maintains the channel allocation policy records, including priority, safety stock and their effective dates, for the team’s planning discussion.

Confirm the base unit used for both on-hand quantity and requested units. Set the practical follow-up for a reservation nearing expiry and for a request whose authorized quantity changes. Rehearse the interaction between an existing hold and another request for the same lot before opening the process to several operators.

Check the handoff on an actual case

Prepare an eligible lot with 100 units on hand and an active held reservation for 70 units. Inventory Clerk requests another hold for 40 units. The request exceeds the 30 units still free, so the operation should fail with the shortfall recorded and no additional hold created.

Try a 20-unit reservation for a separate rehearsal request. Inspect the successful hold and its Recorded receipt. Repeating the same request-and-lot operation should recognize the existing outcome. Have Inventory Supervisor cancel that request through the permitted action and confirm that its hold is released.

Finally, examine a quarantined lot with the supervisor. Inventory Clerk keeps it out of the reservation while the responsible team resolves its condition through the agreed procedure. Ask Auditor to explain why physical on-hand quantity differed from the amount the team could reserve at each point in the exercise.

What your team sees

  • Available Lots — Lot quantities, locations and expiry details for availability checks.
  • Held Reservations — Current held quantities with their source requests and expiry dates.
  • Allocation Policies Register — Active channel policy records for the supervisor’s planning review.
