What you can do
Start with the quantity being authorized
Inventory Clerk prepares a stock request with a recognizable number, item, location and required date. The requested units and responsible owner establish the scope that Inventory Supervisor will review. The item reference and base unit help the team interpret that quantity consistently before any stock effect is posted.
Executing an approved request posts a stock movement and adds its signed quantity to the lot balance. The request becomes Executed and an operation receipt records the result. The movement retains the request association and a stable effect identity, so repeating the same action can return its existing outcome.
How the work is organized
- Define the request. Inventory Clerk selects the operating organization, item and locations. Give the subject enough detail for another shift to identify the intended work. Keep the authorized quantity and current revision visible when the supervisor examines the release proposal.
- Post the stock effect. Inventory Clerk runs the eligible action on an approved request. The movement records the item, lot, location and signed quantity. Check the resulting balance and receipt together before treating an uncertain response as a reason to try the stock action again.
- Correct through a recorded action. Inventory Supervisor handles a quantity correction, cancellation or reversal within the permitted scope. A reversal creates a compensating movement linked to the original. The original posted evidence remains available for Auditor to explain how the balance changed.
What to agree during setup
Agree the item unit convention and how receipt, movement and issue quantities are interpreted by the operating actions. Use the same meaning for quantity in the request and the resulting stock effect. Confirm which location each reference represents before importing older requests.
Set the handoff between Inventory Clerk and Inventory Supervisor when an approved scope needs to change. Agree how the team locates an existing operation receipt after a delayed response. A changed business quantity needs an authorized correction; it should not be disguised as a retry of an earlier request.
Check the handoff on an actual case
Use a rehearsal lot with 80 units on hand and an approved receipt request for 20 units. Inventory Clerk executes the action. Inspect the posted positive movement, the resulting 100-unit balance and the Recorded receipt. The request should now show that the approved work was executed.
Repeat the action using the same request identity. Confirm that the balance remains 100 units and the existing effect is recognized. Then ask Inventory Supervisor to reverse the posted receipt. Inspect the compensating movement, its reference to the original and the restored balance. Repeat the reversal to confirm that another compensation is not created.
Have Auditor explain the sequence from the request, both movement records and the receipts. The original movement should remain understandable as the event that actually occurred before correction.
