What you can do
Separate an instruction from an effect
An Authorized transfer is ready for the provider instruction. Submission can create an instruction identifier, but an instruction identifier alone does not establish that value moved. Assessment evidence records statements, confirmations, settlement notices and corrections against the parent transfer. The evidence row can carry the provider event identifier, occurrence date, amount and verification state. Only verified confirmation or settlement evidence supports moving the transfer to Confirmed.
The team can also attach supporting documents to the transfer. Each attachment has a title, type, upload date, visibility and uploader. These records help the Case Analyst and Credit Reviewer examine the same case without moving documents into an untracked conversation. The Auditor can follow the instruction, evidence and final status from the transfer record.
How the work is organized
- Instruction. Keep the provider instruction identifier and intended value date with the transfer.
- Evidence. Store each provider event against the parent transfer with its type and verification state.
- Documents. Attach supporting files with an uploader and visibility choice.
What to agree during setup
Agree how the provider supplies instruction identifiers, event identifiers and confirmation notices. Decide who verifies an event, what evidence type counts as settlement, and how corrections are kept alongside the original notice. A statement may explain a balance without confirming one specific instruction. The review convention should keep these meanings distinct.
Choose when an attachment is Internal or Shared. A document that supports the decision should be available to the reviewer at the right point, while the visibility setting must reflect the organization’s distribution practice. Agree how duplicate provider event identifiers are handled so a repeated delivery does not create a false second effect.
Check the handoff on an actual case
Start with an Authorized transfer whose Credit Reviewer decision is already recorded. Submit the instruction and record the provider instruction identifier. Let the case remain Submitted or Pending while the provider has not supplied verified outcome evidence. Add a confirmation with its event identifier, date and amount, and have the Credit Reviewer check it against the transfer. Only then mark the transfer Confirmed. Add a correction in a separate evidence row and verify that the earlier confirmation and decision remain available.
Ask the Auditor to begin with the confirmed transfer and trace back to the provider event, submission identifier, review decision and original attachment. A discrepancy in amount or event date belongs in the follow-up path and should be visible for reconciliation.
What your team sees
- Provider instructions — Submitted and pending transfers with their provider identifiers and value dates.
- Confirmed transfers — Completed transfers with confirmation dates for audit follow-up.
Follow the work through
Use provider outcome for instruction and confirmation, then account reconciliation for matching provider movements.
What it keeps track of
Data model- Assessment evidence
- Provider statements, confirmations, settlement notices and corrections for a vault transfer.
- Record attachments
- Supporting documents attached to a vault transfer.
- Vault transfers
- Recorded vault transfers moving through authorization, submission and confirmation.
- Operation receipts
- Idempotent operation receipts with stable operation keys and actual effect references.
Who uses it
Permissions- Case Analyst
- , Credit Reviewer and Auditor.
- The analyst collects the case, the reviewer verifies outcome evidence, and the auditor reads the trail.
