What you can do

Give each meal service a clear booking

The Property Manager starts with the diner or group that needs service. A booking identifies the dining area, service dates and diner count, along with the rate per meal. These details give the team a shared record to use when confirming space and preparing the account. The Front Desk Agent can check the same booking before the diners arrive.

The booking moves through Requested, Confirmed, Checked in and Checked out as work progresses. Confirmation commits eligible service scope after the dining checks. Seating records the party’s arrival into service. Completion follows the final account review. Keeping those moments separate helps the team answer whether a group has space, is being served or has finished.

How the work is organized

  • Prepare the request. The Property Manager chooses the diner and dining area, records the service interval and checks the diner count. The rate per meal belongs on the booking so the commercial basis is visible to authorized colleagues.
  • Confirm eligible space. The confirmation action checks the acting staff member and the current request. It locks the dining area and checks overlapping service dates again before changing Requested work to Confirmed.
  • Follow actual service. The Front Desk Agent uses the authorized seating action for a Confirmed booking. Charges and assigned tasks remain linked to that booking as service continues toward its final account review.

What to agree during setup

Agree how the team describes a diner group and which contact details are needed for follow-up. A named department lunch and an individual diner may use the same booking process, but their contact information should still identify the person responsible for the service request.

Set the meaning of the serve date and service end date before importing bookings. The end date is excluded from the overlap interval. Rehearse a booking that ends when another begins, then a genuine overlap. Agree who can correct dates or the diner count and how they resubmit the current request after a change.

Check the handoff on an actual case

Use a staff lunch for eighteen diners in an area with a seating capacity of twenty. The Property Manager prepares the request and confirms that the area is eligible for the service dates. Attempt another booking for the same area over an overlapping interval. The second confirmation must be checked against the committed booking before it can proceed.

Now change the requested diner count to twenty-four before confirmation. The team should resolve the capacity problem instead of assuming that an Available area can seat any group. Finish with an eligible Confirmed booking and have the Front Desk Agent record seating. Confirm that the booking and its linked work show the actual service state without treating a draft charge as a confirmed payment.

What your team sees

  • Meal Service Queue — Requested and Confirmed bookings with the diner, area and service dates together.
  • Requested Meal Bookings — Booking requests that still need capacity and interval checks.
  • Active Meal Service — Diners whose booking is marked Checked in and needs service follow-up.

Follow the work through

Read request to meal service and account review and completion to rehearse both ends of the booking.
