What you can do

Close the account and prepare the area for reuse

The end of a meal service creates a handoff between the account and the dining area. The Front Desk Agent submits the final meal account. Approved charges are reconciled with confirmed payments, or an outstanding balance is explicitly acknowledged. Once the completion conditions are met, the booking moves to Checked out and the area enters Cleaning.

The next group still needs a ready dining area. Service tasks identify the work and the staff member assigned to it. After the work is complete, the inspection determines whether the area can return to Available. A finished meal booking and a completed cleaning task each provide useful context, but the release decision depends on the inspection outcome.

How the work is organized

  • Submit the final account. The Front Desk Agent requests completion for the current service booking. The Finance Officer checks the posted charges and receipt evidence, with the Operations Reviewer handling the eligible account decision.
  • Keep cleaning visible. The dining area moves from Occupied to Cleaning as service completes. The assigned staff member follows the related task through its work statuses and records when it is finished.
  • Release after inspection. The Operations Reviewer authorizes release only when the service inspection has passed. The guarded outcome returns the dining area to Available for the booking team to use.

What to agree during setup

Agree what the final account reviewer needs to see before the booking closes. Include counter charges as well as meal charges, and decide how a remaining balance is acknowledged. A pending payment needs its own confirmation evidence; the service completion action cannot supply it.

Define who performs the service inspection and how its outcome is made available to the Operations Reviewer. Agree how failed inspection work is assigned and followed up. A colleague preparing the next booking needs an accurate readiness status, especially when cleaning is finished but another issue still prevents the area being used.

Check the handoff on an actual case

Take a staff lunch that has finished serving but still has a Pending payment. Submit the final account and check that the booking does not silently convert that receipt to Confirmed. Resolve the account through confirmed receipt evidence or an explicitly authorized outstanding balance, then inspect the completed booking and its dining area’s Cleaning status.

Have the assigned staff member complete the cleaning task. Rehearse an inspection failure caused by an issue still requiring attention. The dining area must remain outside Available status until the inspection passes. After the issue is resolved, have the Operations Reviewer authorize release and let the Property Manager inspect the area before confirming the next eligible booking.

What your team sees

  • Completed Meal Bookings — Meal services marked Checked out after the final account process.
  • Dining Areas to Clean — Spaces that have not yet completed the work and inspection needed for release.
  • Service Tasks Due — Assigned service work whose due date needs attention during the handoff.
