Ask Proto to prepare the next handoff

Use Proto to help staff find, prepare and review reservation work.

It can

  • Property Manager: Show requested stays, unit capacity and dated rate periods before a booking decision.
  • Front Desk Agent: Find the active reservation for an amenity booking or a service task.
  • Finance Officer: Bring together posted charges, pending receipts and confirmed payments for a selected stay.
  • Operations Reviewer: Show the reservation and linked charge evidence for a review.

Stays with a person

  • Confirmation, charge approval, payment acknowledgment and a unit's return to available depend on the responsible person and the evidence they review.
  • Keep the record identity and source outcome visible when Proto prepares a change.
  • Review linked guest, unit and reservation details before accepting it.
  • The team remains responsible for the operating decision and for any external payment or accounting service it connects.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Set the operating rules

Define unit types, capacity, status use, rate periods and who can confirm a requested stay. Decide how the team checks overlapping dates and date changes.

  2. Load the booking base

Bring in unit records, guest parties and current reservations with their links and agreed nightly rates. Review a returning guest and a group booking.

  3. Add service work

Connect staff users to People records. Rehearse an amenity booking and an assigned task against an active stay.

  4. Add guest-account review

Decide charge approval and correction rules. Bring in posted charges and confirmed payment evidence with reservation references.

  5. Rehearse departure

Reconcile the account or acknowledge what remains outstanding, then check checkout, pending receipts, the cleaning inspection and the unit’s return to available before expanding to the full property.

All questions
How do I get started?

Click Get started, then use Proto to configure Campground / RV Park Mgmt for your business. Start with a small set of units, one rate period and a complete requested-stay-to-departure case before loading the wider property.

How is a guest linked to a stay?

Each reservation points to a party record. The reservation holds the visit dates, unit, headcount, nightly rate and status so returning guests can have distinct stays.

How do I see whether a unit is ready?

Review the unit's available, occupied, cleaning or maintenance status alongside the reservation dates and service work. Property Manager confirms readiness after the relevant handoff.

Can I use different nightly rates by date?

Rate plans hold a start and end date, unit type, nightly rate and minimum-night rule. Record the agreed nightly rate on each reservation after review.

How are restaurant or spa bookings handled?

Front Desk Agent records the amenity type, name, start time and guest count against the selected reservation. A related financial charge is reviewed separately.

Who owns cleaning and maintenance work?

Service tasks record task type, due time, unit, reservation and assigned People record. Property Manager and Front Desk Agent use the task status to hand work between shifts.

What counts as a received payment?

Finance Officer reviews the Payments status and reference. A confirmed receipt can be compared with posted charges; a pending record waits for its actual outcome.

How are incorrect charges corrected?

Finance Officer reviews the reservation and evidence with Operations Reviewer, then uses the charge's posted or voided status according to the property's correction policy.

Can I connect a payment or outlet system?

Yes. Define the source of truth for each outside outcome, its reference and who reconciles it against the reservation. Test corrected and repeated messages before daily use.

Does an amenity booking create a charge?

The booking and charge are separate records. Finance Officer records the outlet charge against the same reservation with its name, date, amount and status, then reviews it against the booking evidence.
