What you can do

Connect extra service to the right stay

Amenity bookings records a restaurant or spa booking against a selected reservation. It carries a booking number, amenity type, amenity name, start time and guest count. Front Desk Agent captures the booking so the service remains attached to the stay that requested it. Property Manager can review that linked booking while planning the guest’s visit.

Utility charges holds a named outlet charge, charge date, amount and status against a reservation. Its record describes restaurant, spa and other outlet charges. Finance Officer manages these charges and can distinguish a draft from a posted or voided amount. The reservation link keeps the charge beside the guest account it affects. Keep the outlet booking and charge as separate records under the same reservation, with a clear charge decision by Finance Officer.

How the work is organized

  • Booking. Record the amenity, start time and party size on the selected stay.
  • Charge. Keep the named charge, amount, date and status under the reservation.
  • Review. Separate draft, posted and voided financial records during account review.

When a guest adds a restaurant booking, Front Desk Agent should select the active reservation and confirm the guest count and start time. If a charge follows, Finance Officer should use the same reservation and a clear description of the charge. Operations Reviewer can inspect both records while reviewing the account.

What to agree during setup

Agree how staff name amenities and charge types, and how they confirm the correct reservation when one guest party has several stays. Decide whether an outlet creates the charge in its own system or whether Finance Officer enters it locally after receiving evidence. If an outside outlet sends charges, define the connection and reconciliation procedure before relying on it for the guest account.

Agree how the outlet sends the service date, charge name and amount to Finance Officer. Keep the original booking beside the charge so a reviewer can check that both point to the same stay. Finance Officer should also agree when a draft can be posted and who reviews a correction.

Check the handoff on an actual case

Use a confirmed stay for a party that books a restaurant visit. Add the booking with a start time and headcount, then open the reservation detail to check the link. Prepare a draft outlet charge against that same reservation. Have Operations Reviewer compare the booking evidence with the draft amount and Finance Officer record the posting decision. Open the payment review only after confirming which charges are posted.

Now void a mistaken draft or posted charge according to the team’s correction policy. The original record remains visible with its status, allowing the reviewer to see why the guest account total changed. Repeat the case with a party that has an older stay and confirm the new booking and charge were attached to the active reservation.
