What you can do
Put work beside the stay it serves
A service tasks record connects work to a unit, an assigned person and a reservation. It carries the task type, due time, completion time and progress status. The Property Manager can see work affecting the unit; Front Desk Agent can capture the task at the moment a guest reports a need or a checkout creates cleaning work. The assigned People record ties the work to a staff member and that person’s user account.
A guest asks for attention to the unit during a checked-in stay. Front Desk Agent records a guest-service task against the same reservation and unit, with the person who will own it. The task starts open, moves through assigned and in progress, then reaches completed when the work is recorded. The due time helps the team decide what to handle first; completion time gives the next shift a clear point of reference.
How the work is organized
- Work type. Separate cleaning, maintenance and guest-service tasks at intake.
- Assignment. Keep the responsible staff member and related unit visible on each task.
- Progress. Use the task status and dates to show what remains open.
The unit can also be marked for cleaning or maintenance. That operating condition helps the booking team avoid offering it while work remains. Task completion is evidence for the Property Manager, who confirms a passed cleaning inspection before changing the unit back to available. A completed task should retain its reservation link so staff can later explain what happened during a particular stay.
What to agree during setup
Agree who assigns work, who marks it in progress and who records completion. Front Desk Agent manages service tasks, while Property Manager also manages the record and the unit. Set an escalation route for maintenance that affects a confirmed arrival. Decide whether a cleaning task is always required after checkout and how the team checks that the unit is ready again.
The People records should match the staff who actually receive work. Keep their active status current and connect each person to the correct user. A task assigned to an inactive person can disappear from the team’s practical handoff even while its record remains open.
Check the handoff on an actual case
Take a checked-in stay and create a maintenance task for its unit. Assign it to the staff member who will respond. Ask Property Manager to look at open service work and confirm the reservation, unit and due time match the guest’s request. Progress the task through its statuses and enter the completion time. Then open the reservation and check that the completed work remains linked to the stay.
For a checkout, place the unit in cleaning and create a cleaning task. Have Property Manager inspect the completed cleaning work and confirm it passed before marking the unit available. If the task is still open, the condition board should continue to show the unit as cleaning.
