What you can do

Turn a reading into an asset decision

A building meter reading belongs to an asset and records when it was read, the metric, measured value, unit and action limit. The capture action validates the reading and creates its record. When the value reaches the action limit, it flags the asset for maintenance. The manager can then review the physical equipment and decide what work to request.

The reading is a dated observation. The work order is where assignment, safety authorization, technician work and inspection happen. Keeping those records distinct helps the facilities team understand why maintenance was requested without treating a measurement as a completed repair.

How the work is organized

  • Capture consistently. Record the asset, metric, value, unit, action limit and reading date together.
  • Review the limit. Compare the measured value with the entered action limit for that point.
  • Send work onward. Use an asset flagged for maintenance to start an appropriate work order.

Suppose a meter point on a campus ventilation unit has a reading at its action limit. The capture action records the measurement and flags the unit. The facility manager checks the unit’s identity and recent service, then raises a corrective work order. The permit issuer and technician handle the work through their normal steps; the original reading remains available to explain the trigger.

What to agree during setup

Choose the measurement points the campus team will record first. For each metric, agree the unit and action-limit convention so a value from one unit is not compared with a limit in another. Decide who takes the reading and who reviews flagged assets. The metric is open text, so use a stable name for repeated observations of the same point.

Agree the reading cadence and what the team should do when a measurement is suspect. Check the asset tag at the physical meter before entering the result. A valid number against the wrong unit would point the maintenance flag at the wrong equipment and make the later service trail harder to trust.

Check the handoff on an actual case

Enter a reading below its action limit for a known asset and confirm the record shows its metric, unit and date. Enter a reading at the limit for the same asset and confirm it moves to maintenance state. The facility manager should be able to find the reading in the register and identify the affected unit without guessing from the metric name alone.

Create a work order for that unit, authorize it with a current permit, then record work and inspection. Check that the reading and service history both lead back to the same asset. Repeat the capture with an invalid value and confirm the action rejects it before writing a reading.

What your team sees

  • Meter Readings With Action Limit — Readings reviewed against their entered action limits.
  • Condition Reading Register — Measurement history by asset, metric and reading date.
  • Asset Register — The current state of equipment affected by readings.

Follow the work through

The condition reading process covers capture and review. The maintenance work order process covers intervention.
