What you can do

Keep the extra activity attached

An ancillary booking records whether the activity is Dining or Wellness, its venue, start date, attendees and linked rental booking. The counter can capture an activity for the selected reservation. Its link helps staff answer which customer rental it belongs to when the main booking detail is opened.

An ancillary charge records outlet number, venue, charge date, amount and Draft, Posted or Voided status. Finance Officer reviews the charge with the rental account. A restaurant or wellness reservation is an activity record; it does not by itself confirm a payment. The corresponding charge and receipt retain their own states.

Operations Overview includes recent source evidence with linked ancillary evidence. That helps the team trace a question about an outlet amount back to the booking and activity. Operations Reviewer can inspect the linked context while Finance Officer handles the monetary record.

If a customer changes the dining venue, review the ancillary booking and any linked outlet charge under the same rental. The activity date and charge date serve different purposes, so the desk should not infer that one updates the other. Finance Officer checks the amount and booking link before posting. An activity can remain visible even when the related charge is Voided, which helps explain the account.

How the work is organized

  • Activity type. Dining and Wellness distinguish the reservation request.
  • Account status. Outlet charges keep their own Draft, Posted and Voided state.
  • Rental linkage. Both activity and charge point to Bookings.

What to agree during setup

Agree which venues accept reservations, who captures them and when outlet amounts are posted. Decide who reviews disputed activity before a charge is changed. Pilot one dining booking and one wellness booking against a known rental. Use one linked rental to check the correction with the person who owns the next step.

Check the handoff on an actual case

A customer with a confirmed vehicle booking asks for a dining reservation during the rental. Front Desk Agent records the venue, start date and attendee count against that booking. The outlet charge appears under the same booking as a Draft for Finance Officer to review before it is Posted. Check the customer, vehicle and booking links after the change. Have the next role open the same case before the handoff is complete.
