What you can do
Know which vehicle can take the booking
A vehicle record carries its number, class, seats and operating status. Property Manager keeps those details usable for the counter. The team starts with the vehicles marked Available and then checks the booking dates, because a current status alone does not establish availability throughout a future rental. A vehicle in Cleaning or Maintenance needs work before it can be offered.
A rate plan describes a vehicle class, effective dates, daily rate and minimum days. Use the plan as a pricing reference when entering a booking; the booking also carries its own daily rate. If the class or effective dates change later, the counter should still be able to explain the rate agreed for an existing rental.
Consider a seven-seat request for a long weekend. The counter checks seats and class first, then compares the requested pickup and return dates with existing bookings for that vehicle. Property Manager resolves any overlap before confirming. After a returned vehicle enters Cleaning, a completed task and passing inspection support the decision to mark it Available again.
When a vehicle is returned, read its current status alongside the linked service task before changing the counter list. A completed task explains work done, but Property Manager still needs the return inspection result. If the inspection fails, leave the vehicle out of Available and keep the next service action tied to the same unit. This keeps the fleet discussion grounded in the actual vehicle rather than a reservation label.
How the work is organized
- Current operating state. A vehicle marked On Rent, Cleaning or Maintenance remains visible with its reason to investigate.
- Capacity and class. Seats and vehicle class help the counter choose a suitable unit.
- Dated pricing. Rate plans give staff a consistent reference for a quoted rental.
What to agree during setup
Agree who updates vehicle status after pickup, return and service. Decide how vehicle numbers are assigned and how class changes are handled. Import current vehicles with their actual operating state, then sample the records against physical units. Use one linked rental to check the correction with the person who owns the next step.
Check the handoff on an actual case
A customer needs a larger vehicle for five passengers. A candidate has enough seats but is already attached to a confirmed booking that overlaps the requested dates. The counter chooses another available unit or changes the dates with the customer. The chosen vehicle is linked to the booking before confirmation. Check the customer, vehicle and booking links after the change. Have the next role open the same case before the handoff is complete.
