What you can do

Connect service work to the unit

A service task identifies its type, due date, completion date, vehicle, booking and assigned team member. Cleaning, Maintenance and Customer Service are the task types. The status moves through Open, Assigned, in progress and Completed as staff take responsibility and finish the work. This connection makes it possible to find the rental that led to a returned vehicle’s follow-up.

The task assignee is a team members record linked to a user. Front Desk Agent can capture the work; Property Manager reviews the fleet impact. A completed task and a passed return inspection answer different questions. Completion shows that the assigned work is done, while the inspection determines whether the vehicle can be offered again.

Use the due date to focus the daily queue. A vehicle in Maintenance should remain visible even when the related rental has already been returned. The team can read the task history before changing the vehicle status rather than relying on an informal note.

A task may be opened for cleaning at return or for maintenance found during inspection. Record the due date and link the exact vehicle and booking before assignment so the next shift can identify the source. Front Desk Agent moves the task to the assigned person, and completion records when the work ended. Property Manager checks the unit separately before changing its fleet status.

How the work is organized

  • Type of work. Cleaning and Maintenance are distinguishable from Customer Service.
  • Named assignee. A team members link identifies who owns the task.
  • Rental context. Vehicle and Booking links explain where the work came from.

What to agree during setup

Agree who assigns tasks, what counts as completed and who reviews a returned vehicle. Map active team members to users before handing out work. Try an ordinary cleaning case and one maintenance case that delays availability. Use one linked rental to check the correction with the person who owns the next step.

Check the handoff on an actual case

After a return, the counter finds a cleaning task due today on the vehicle. Front Desk Agent assigns it to an active team members record. The assignee completes the work and records completion. Property Manager then checks the vehicle and decides whether its status can move from Cleaning to Available. Check the customer, vehicle and booking links after the change. Have the next role open the same case before the handoff is complete.

What your team sees
