Prepare work with Proto

Let Proto prepare event work and surface decisions for the responsible team.

It can

  • Event Coordinator: Prepare an order with its venue, serving time, owner, menu lines and allergen declarations for review.
  • Kitchen Lead: Show the approved recipe revision and submitted ticket details that need checking before release.
  • Operations Supervisor: Bring the current revision, supporting evidence and prior decisions together for a release or correction.
  • Service Lead: Compare delivered products with served portions and flag remaining scope for review.

Stays with a person

  • People approve submitted production work and corrective actions.
  • The agent can prepare evidence, but it cannot replace the supervisor's decision or create provider confirmation.
  • A completed action needs its actual effects and reconciled receipt.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Set the operating context

Add the organization, active venues, team members and access roles.

  2. Prepare the menu

Add products, ingredients, allergen declarations and approved recipe revisions with usable yields.

  3. Walk through an order

Create an event with lines, owner, venue and serving time; check acceptance and its receipt.

  4. Review kitchen release

Submit a ticket, record an independent supervisor decision and follow the actual preparation.

  5. Check service and exceptions

Record fulfillment and served portions, then rehearse a changed scope and an uncertain receipt.

FAQ

Questions, answered

Scope, rollout and pricing for Catering Management.

All questions
How do I get started?

Click Get started, then use Proto to configure Catering Management for your business. Begin with one organization, an active venue, a small approved menu and one event order that the team can follow through service.

How does an event order become accepted?

The Event Coordinator records its venue, owner, serving time and menu lines. Acceptance checks the chosen products, portions, allergens and capacity, calculates the net amount and records the accepted time and operation receipt.

Can we keep different recipe revisions?

Yes. Event Menus retain a revision number, effective date, portion yield and approval state. Kitchen work uses the approved revision selected for the released scope.

Who releases a production ticket?

The Operations Supervisor independently reviews the submitted revision and its evidence. The release records its effects before the ticket is Completed.

How are allergens handled?

Ingredient and event line declarations give the team the facts to check when selecting and accepting a menu. Agree who maintains them and verify the actual recipe revision before kitchen release.

Does a delivery event mark portions served?

Service Lead records served portions on the event lines. Fulfillment events record physical allocation, shipment, delivery or return separately.

How do we handle a changed guest count?

Review the current order and ticket revisions. A changed submitted ticket needs a fresh supervisor decision; work already prepared or served stays in history.

What happens to a failed operation?

Operations Supervisor reads the receipt, compares linked effects and any external reference, and attaches evidence before marking a matched result complete.

How do refunds appear?

Payment Evidence holds provider event identity, amount, type and verification state. Finance Reviewer checks the provider result before treating a refund as resolved.

Where do we see open work?

Open Event Orders, Pending Production Release and Operation Exceptions focus the team on commitments, review decisions and uncertain outcomes.
