What you can do

Venues and teams in daily work

Organizations hold the operating name, code, time zone, currency and active state. Venues belong to an organization and retain a contact, address, eligibility note and active state. Team members also belong to an organization, link to a platform user and have their own time zone and active state. The event order connects an owner and counterparty to the same working context, so coordination has named responsibility and a usable destination.

How the work is organized

  • Set the operating context. Admin maintains the organization, its time zone and active team members.
  • Keep destinations usable. Event Coordinator checks venue contact, address and eligibility before assigning it to an order.
  • Name the owner. The order’s team member gives kitchen and service staff a person to contact about the commitment.

The Admin maintains organization and team member records. The Event Coordinator selects an active venue and order owner before acceptance. Service Lead checks the destination before physical handoff. The venue note can explain access or suitability, but the team should agree what it means locally and keep it current. A stale venue address is an operational problem even when an old order was valid when accepted.

What to agree during setup

Decide who maintains organization, venue and team member details. Confirm each team member’s user link and organization before access is granted. Agree what makes a venue eligible for a new order and who updates its contact or address. Use the organization’s time zone to interpret serving times consistently across coordination and service.

Check the handoff on an actual case

For a multi-venue operator, set the event under the right organization and confirm the venue contact and address with the person arranging service. Assign the active team member who will answer for the order. If a venue becomes inactive later, retain its link on historical orders while directing new commitments to an eligible destination. Team membership and user access should be checked against the actual organization before broad access is given.

A destination may become inactive after an event was served. Retain the historical order link, while selecting an active venue for new work. When an order crosses shifts, the named owner and venue contact give the incoming team a clear way to resolve access or delivery questions without changing the original customer commitment.

What your team sees

  • Active Event Venues — Eligible destinations with contacts, addresses and organization links.
  • Open Event Orders — Current commitments with their destination and responsible owner.
