What you can do

Start with the operating record

Inventory records stock for each variant and warehouse code, with on-hand and reserved quantities. A shipment records the order, warehouse, shipping method, carrier details and progress status. Find stock by variant and warehouse code, then compare on-hand and reserved quantities with the order lines. A shipment points to one order and a shipping method; its status and tracking details explain physical progress. Customer Service Rep uses those records when answering a delivery question.

How the work is organized

  • Stock position. Compare the variant and warehouse code before interpreting available stock.
  • Shipment progress. Follow the linked order and shipment status from Pending through delivery or exception.
  • Service handoff. Pass the shipment number and current status to the Customer Service Rep.

What to agree during setup

The warehouse team agrees how stock adjustments are checked against the order lines and how shipment status is updated. Service staff need a shared interpretation of the order fulfillment status and the shipment status when answering customers. Agree which warehouse code staff use for each variant and how a stock correction is reviewed. Decide who moves a shipment status and when the order fulfillment status should change. Rehearse an order with insufficient stock and one with a delivered shipment. The operator should be able to show the matching variant, order line, and shipment without relying on a product title alone.

Check the handoff on an actual case

A customer asks whether an order has left the warehouse. The operator identifies its order lines, checks the relevant variant inventory and opens the linked shipment. The service rep can then read the shipment status and tracking details, using the order fulfillment status as the broader summary of work still open. Ask the next role to find the same case from its linked record and explain the current decision. Keep the order number or catalog code visible in the handoff so a change is applied to the intended transaction.

Repeat the check with a second case whose status or linked record differs. Have the responsible role explain the correction and confirm that the next person can see the result in the same records.

What your team sees

  • Pending shipments — Shipments awaiting warehouse work, grouped by their current status.
  • Open customer orders — Stock and reserved quantities for each variant and warehouse code.
