What you can do
Start with the operating record
A refund request links to an order and records its amount, reason, status, requested time and approving user. Product reviews and customer email records help service and marketing staff understand later customer contact. Start a refund review from the original order and its paid and refunded amounts. The order refunds record carries the reason, requested amount, status, and approving user. Product reviews and emails sent give service and marketing staff separate evidence of customer feedback and recorded communications.
How the work is organized
- Refund request. Match the refund number and amount to the original customer order.
- Owner decision. Check the pending request and prior refunded amount before approval.
- Customer history. Read product reviews and email evidence alongside the order they concern.
What to agree during setup
The service team agrees which refund amounts require merchant-owner approval and how the requested amount is checked against the order. Review moderation and marketing follow-up should be assigned to the configured roles. Agree which refund requests require Merchant Owner approval and how staff check the remaining refundable balance. Distinguish a refund marked Processing from one marked Success. Decide who moderates a product review and how the Marketing Manager checks communication evidence. If customer email is delivered through another service, reconcile its result before telling a shopper a message arrived.
Check the handoff on an actual case
A customer reports a damaged item. The service rep opens the order and creates the refund record with the reason Damaged. The merchant owner reviews the amount and order history, records the approval where required, and the team follows the refund status through Processing to Success or Failed. The service rep checks any related order events before replying. Ask the next role to find the same case from its linked record and explain the current decision. Keep the order number or catalog code visible in the handoff so a change is applied to the intended transaction.
Repeat the check with a second case whose status or linked record differs. Have the responsible role explain the correction and confirm that the next person can see the result in the same records.
