Help your team prepare the next action

Give each team member help finding and preparing clinical operations work.

It can

  • Clinical Coordinator: Find scheduled encounters for a clinician, show visits awaiting review and prepare the next day's patient handoff.
  • Licensed Clinician: Find assigned care tasks and assemble the notes, observations and specimen state for a named encounter.
  • Clinical Reviewer: Bring together the patient's consent, attributed notes and specialty evidence for a visit review.
  • Clinical Governance Administrator: Surface pending privileges with their evidence and effective dates for a human verification decision.

Stays with a person

  • The responsible person checks patient identity, professional standing, consent and clinical evidence before a status change that depends on them.
  • The governance administrator decides privilege verification; the clinician signs their own documentation; the coordinator owns the encounter state.
  • An assistant can gather records and prepare a handoff, but the named person makes the decision.
  • Agent use follows the account's metering terms.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Set up staff and patients

Confirm user accounts, clinician records, patient numbers and the assigned clinician for the pilot group.

  2. Establish governance

Enter privilege evidence and effective dates, then record care-team assignments with their access purposes.

  3. Run a visit

Schedule an encounter, record arrival and start, add a note and observation, and check the relevant consent.

  4. Review specialty work

Add a specimen or dispensation where the clinic performs it, then inspect the full encounter record before completion.

  5. Close and follow through

Record the end time, assign care tasks and check service charges and payment references through the agreed financial process.

All questions
How do I get started?

Click Get started, then use Proto to configure Clinical Trial Management for your business. Begin with one clinician, a small patient group and a representative visit that includes the consent and care evidence your team uses.

Who owns the patient and visit record?

The Clinical Coordinator maintains patient and encounter records. The Licensed Clinician adds the care documentation and specialty evidence for the visit.

How is a clinician's standing checked?

The Clinical Governance Administrator checks license details, issuing authority, evidence and effective dates before verifying the privilege record.

Can I see what happened during a visit?

Open the encounter to follow its patient, clinician, timing, notes, observations, specimens, dispensations and charges through their linked records.

How is consent recorded?

A consent record names the patient, purpose and version and holds the document, signature date, expiry and current state. Check that record for the activity at hand.

What happens to a specimen after collection?

The specimen record carries its encounter, type, collection time, accession number and processing state through receipt, testing or rejection.

Can the team assign follow-up work?

A Licensed Clinician can create a patient care task for a named person with a due date. The assignee follows its state through work, completion or escalation.

How are charges and payments handled?

A charge belongs to the encounter and records its service and amount. A payment belongs to the patient and carries its receipt reference and state. Agree how your billing system confirms each handoff.

What should we rehearse before wider use?

Run a scheduled visit from patient identity check through evidence review and completion. Include an expired privilege, a withdrawn consent and an escalated follow-up task in the rehearsal.
