What you can do
Keep a charge distinct from a booking
An outlet charge records the outlet name, charge time, amount, state and linked reservation. Front Desk Agent submits the outlet charge request for the selected reservation; Finance Officer prepares the financial record after the activity is known. The draft, posted and voided states tell the property team whether an amount belongs in the departure review. The booking remains a separate record with its own starting time and guest count, so a booking does not silently become a billed service.
How the work is organized
- Source. Find the stay and the outlet activity supporting the amount.
- Draft. Record the charge with the outlet name, time and amount.
- Posting. Review the evidence before moving the charge into the posted set.
What to agree during setup
Decide who submits an outlet charge request, who prepares its draft, who reviews its source and who can void one that was entered in error. Keep the reservation link consistent with the guest who used the outlet. Define which outlet activity supports the amount and how the reviewer can trace the source evidence. A repeated command should return the original saved charge; changed input should be treated as a conflict, not a second bill.
Check the handoff on an actual case
A guest with a restaurant booking has an outlet charge after the visit. Front Desk Agent submits the charge for the selected stay. Finance Officer checks the reservation and outlet name, then records the amount as a draft. Operations Reviewer examines the source evidence before posting. If the guest disputes the amount, the team keeps the original record visible and uses the voided state for the correction. At departure, Finance Officer reconciles posted outlet amounts with folio charges and confirmed payments, avoiding a second posting for the same activity.
A booking may help explain the service, but the charge still needs its own amount and posting decision. Finance Officer should compare the outlet name and reservation on both records before posting. If the charge arrives after the booking time, use the charge time to decide which departure review should include it. Operations Reviewer can inspect the draft and source activity, then keep a voided correction visible if the amount was wrong. Front Desk Agent should not treat a submitted request as a posted charge when speaking to the guest.
