What you can do

Keep work tied to the right stay

A task identifies the reservation, unit, assigned person, type, due date and current state. Front Desk Agent can record work discovered during a stay, while Property Manager can see open work across units. Cleaning work after departure is especially important because a unit should not become available on the strength of check-out alone. The completed time helps the property team distinguish work that is done from work that remains in progress.

How the work is organized

  • Intake. Record cleaning, maintenance or guest service work against the affected reservation and unit.
  • Assignment. Set a responsible person and due date before the work moves ahead.
  • Completion. Record completion and review the unit’s readiness when the work affects availability.

What to agree during setup

Agree who assigns a task, who may mark it complete and how the property records a failed cleaning inspection. Keep the task’s unit aligned with the linked reservation. A due date helps prioritize work but does not itself certify completion. Choose how maintenance work takes a unit out of use and how the Property Manager confirms it can return. Repeated requests for the same operation should not silently create duplicate tasks.

Check the handoff on an actual case

A guest reports an issue during a checked-in stay. Front Desk Agent records a guest service task, links the reservation and unit, and assigns an active person. The assignee moves it through assigned and in-progress states, then records completion. At departure, the unit moves to cleaning. A separate cleaning task names the person responsible. Property Manager checks the finished work and inspection before the unit is marked available. An open cleaning task remains visible instead of disappearing with the reservation’s checked-out status.

The work queue helps Property Manager distinguish an open request from a task already assigned to a person. Front Desk Agent can check the unit and reservation before recording completion, especially when a guest has moved rooms. A completed guest service task does not by itself change the unit state. After departure, Property Manager checks the cleaning task and inspection before returning the unit to available. Keep maintenance work visible on the same unit so the next arrival is not offered a room still under repair.

What your team sees

  • Open service work — Outstanding work by task type, due date, unit and assignee.
  • My service tasks — The signed-in person’s assigned work and linked reservation.
  • Units needing cleaning — Units still waiting for a readiness decision.
