What you can do

Give each task a clear owner

A service task ties a unit to a booking and an assigned team member. The type distinguishes cleaning, maintenance and guest service work. Due and completed dates help staff separate planned work from finished work. A task can move from Open to Assigned, in progress and Completed, giving the property manager and front desk a shared account of what remains to be done for a stay or space.

The team member record carries the staff name, role title, active choice and linked user. Assignment should follow that person record so a shift change or a similar name does not leave the task ambiguous. The property manager owns service planning. The front desk can capture work noticed during a resident’s stay, while the reviewer can inspect its linked reservation and unit when the outcome matters to another decision.

How the work is organized

  • Task context. Record the type, due date, resource and reservation together so staff understand where the work belongs.
  • Named assignment. Select the team member who is accountable for the task and make the open state visible.
  • Completion evidence. Enter the completed date when work is finished and review it before changing resource availability.

What to agree during setup

Decide which task types belong in the service queue and how the front desk hands urgent work to the property manager. Keep team member records current, including whether a person is active. Agree who can reassign a task, who records completion and who checks a cleaned room before it becomes available again. A reservation link should identify the stay that caused the request, even if maintenance continues after that resident has left.

Check the handoff on an actual case

A checked-out room needs cleaning before an incoming party can use it. The manager creates a cleaning task for the room and departing reservation, sets a due date and assigns a team member. Property Manager or Front Desk Agent records task progress and the completed date after the assignee finishes. The manager then reviews the finished task and the room condition before returning the resource to Available. If the inspection finds a problem, the room can remain in Cleaning or move to Maintenance and another task can be recorded. The incoming booking retains its own dates, while the service history explains the gap between stays.

What your team sees

  • Open service work — Review due work by task type, assigned person, unit and reservation.
  • Resources needing attention — Find rooms whose condition still affects the next stay.
