What you can do
Check the free quantity before committing stock
A lot’s on-hand quantity is the starting point for reservation review. Inventory Clerk must also account for stock already held against other requests. The reservation action checks the selected eligible lot and prevents the new commitment from exceeding the quantity left after active held reservations. Inventory Supervisor uses the result to decide how a shortfall should be handled.
A successful reservation produces a held record linked to both the stock request and the lot. It also produces an operation receipt. When free eligible inventory is insufficient, the failure receipt explains the shortfall. The team can follow that outcome without assuming that an unsuccessful attempt committed any additional stock.
How the work is organized
- Eligible lot selection. Inventory Clerk checks the item’s lot, location and release state before attempting the reservation. Receipt and expiry dates help the team apply the selection method agreed for the stock.
- Quantity protection. The reservation action compares the requested commitment with on-hand stock less active held quantities. Repeating a successful request-and-lot operation returns its existing reservation instead of creating another commitment.
- Scope changes. Inventory Supervisor uses the supported correction or cancellation action when the authorized request changes. Releasing its held reservations restores stock to the free quantity considered for later requests.
What to agree during setup
Agree the reservation lifecycle, including who reviews expiry and how the team follows a held commitment into later work. The stock request and lot links should remain recognizable throughout that review. Test the configured behavior for held, released and consumed reservations using the actions the team will actually use.
Inventory Supervisor maintains allocation policies with channel, priority and safety-stock settings. Agree how those settings are applied during selection and confirm that behavior in a rehearsal. Keep the underlying free-quantity check visible so policy discussions do not obscure the quantity already committed to other work. Resolve the requested stock scope before retrying a failed reservation.
Check the handoff on an actual case
For a rehearsal, use an eligible lot with 100 cases on hand and 60 cases held for an earlier request. Inventory Clerk attempts to reserve another 50 cases. Only 40 are free, so the action should record a shortfall of 10 cases. Inventory Supervisor checks the Failed receipt and confirms that the original balance and 60-case hold remain unchanged.
Cancel the earlier request through the authorized action. Its release restores the free quantity to 100 cases. For the successful replay case, use a separate request for 30 cases against the lot. Create the reservation and repeat that successful action using the same operation identity. The held quantity should remain 30 cases and the free quantity 70. Retain the earlier failure receipt while reviewing the successful commitment.
