What you can do

Make the requested stock action clear

Inventory Clerk prepares a request with the item, operating location and counterparty location, together with the quantity and required date. The subject explains the intended work. Inventory Supervisor reviews that request before approving the stock action. A named owner gives the team someone to contact when the request needs correction or further evidence.

The request revision is part of the decision. Approval advances that revision, so another decision attempt using the earlier revision is refused. The recorded decision retains the reviewer and reason. This gives Auditor a way to follow the authorization back to the request that was presented. Agree how quantity corrections enter review before the team changes authorized scope.

How the work is organized

  • Request preparation. Inventory Clerk confirms the item and base unit, selects the relevant locations and states the requested quantity. Attach supporting material to the request when it helps the reviewer assess the action.
  • Revision review. Inventory Supervisor approves the current request or records a Rejected, Returned or Escalated decision. A stale request must be refreshed before another decision is attempted.
  • Decision evidence. The resulting decision and operation receipt remain linked to the parent request. The team can identify the outcome without treating an approval as proof that the inventory action has already occurred.

What to agree during setup

Agree how the request subject identifies receiving, movement, reservation or issue work. Confirm which location is the operating location and how the counterparty location is used for the selected action. The person reviewing a request should be able to understand the direction and quantity of the intended work before authorizing it.

Set the review responsibility and the evidence required for a decision. Returned and escalated decisions need an actionable reason so the clerk knows what to resolve next. Test the action with the supervisor’s account and a current revision. Review access should support the intended decision while preserving the separation between preparing a request and deciding it.

Check the handoff on an actual case

For a rehearsal, prepare a request to receive 24 cases into a cold room, using cases as the item’s base unit. Inventory Clerk supplies the location context and supporting material. Have Inventory Supervisor open the same request revision in separate review sessions, then approve it in the first session. Attempt a different decision from the older session. That stale attempt should be refused without creating another decision.

Repeat the successful approval using its original operation identity. It should return the recorded outcome without advancing the revision again. Keep this retry separate from the new stale decision attempt. Ask Auditor to locate the request, reviewer and reason, then confirm that the clerk can identify the approved quantity and receiving location before execution.
