What you can do

Start with the lot the team will actually use

Inventory Clerk maintains stock identity and location so a request can be reviewed against the lot on the floor. Each item has a base unit and tracking mode. Its lots carry the received date, quantity on hand and release state, with an expiry date where relevant. Inventory Supervisor uses those details when deciding whether stock is eligible for the requested action.

Cold rooms and other storage areas belong in the location register with a clear code and eligibility note. A recognizable location helps the clerk find the intended stock and explain the operating conditions to the reviewer. Keep the organization’s local time convention consistent when comparing receipt dates and expiry dates across shifts.

How the work is organized

  • Item identity. Inventory Clerk checks the item code, base unit and tracking mode before preparing lot records. The same unit convention must carry into the requested quantity so the reviewer can compare the request with stock on hand.
  • Location eligibility. The location record describes the area and its suitability through the eligibility note. Inventory Supervisor reviews that context when the team considers moving stock between storage areas.
  • Lot selection. The clerk examines release state alongside receipt and expiry dates. Available stock still needs a free-quantity check against existing reservations before the next request can claim it.

What to agree during setup

Agree the naming convention for rooms, bins and other storage areas. Identify who maintains eligibility notes and when those notes should be reviewed. Use the same item identifiers that the team recognizes on incoming documents and handling units. Confirm whether the item is tracked by lot or serial identity before loading its opening stock.

Agree the rotation method and the role responsible for applying it. Receipt dates provide a basis for reviewing older stock, while expiry and release state affect suitability. Rehearse the chosen selection method with the actual lot records. A rotation preference should be applied within the stock that is eligible for the request under review.

Check the handoff on an actual case

Choose an item held in nearby cold rooms with different eligibility notes. Inventory Clerk opens the lot records and identifies the room, received date and release state for each. Inventory Supervisor compares the request with those details and asks the clerk to explain the chosen lot. Include a quarantined lot in the exercise so the release distinction is visible.

Next, use an available lot that already has a held reservation. Follow its quantity into the reservation review before assigning more stock. The handoff is ready when the clerk can identify the physical lot and the reviewer can explain both its eligibility and the quantity still available for the requested work. Keep the same lot identity when following later movement evidence.
