What you can do
Plan from the kitchen outward
Property Manager starts with the kitchen’s type, station capacity and current operating status. A kitchen marked Available can be considered for a new booking. Cleaning or Maintenance directs attention to service work before the next client arrives. The booking interval gives the team a dated commitment to compare with other requests.
A client may ask for a kitchen that has enough stations but overlaps another confirmed booking. Kitchen Coordinator checks the intervals before approving a request. The decision stays tied to the exact kitchen and client. A request that cannot be accommodated can remain Requested while the team finds another interval or kitchen; Cancelled records one that ends.
How the work is organized
- Kitchen inventory. Record the kitchen name, type, station capacity and operating status.
- Dated requests. Keep the client, kitchen, start, end, attendee count and slot rate on the booking.
- Decision queue. Review Requested bookings beside active intervals before confirmation.
What to agree during setup
Agree how a station maps to a booked attendee, who keeps kitchen status current, and who makes the final confirmation decision. Kitchen Coordinator should see the actual interval and attendee count before deciding. Property Manager should determine how cleaning and maintenance affect the next available interval. Rate plans guide the commercial discussion by kitchen type and effective dates; the booking carries its selected slot rate.
Agree whether the team books whole kitchens or allows multiple clients to use different stations. The booking record points to one kitchen and has an attendee count. If station sharing is part of the operating model, write down the interval and capacity rule used at confirmation. This prevents two staff members from interpreting Available differently.
Check the handoff on an actual case
Take a client request for a kitchen with an attendee count close to its station capacity. Property Manager records the requested start and end, chooses the client and kitchen, and reviews the rate plan. Kitchen Coordinator compares the interval with Booking Calendar and checks Kitchen Availability. If another confirmed booking overlaps, the coordinator leaves the request open while Property Manager adjusts it. After an eligible interval is found, the coordinator confirms the booking. Front Desk Agent can then see the commitment before creating related service work.
Check the same case when the kitchen is Cleaning. The status prompts a review of its cleaning task and planned handover time. Once the operational work is complete, Property Manager can return the kitchen to Available. The booking stays linked to the kitchen, so later charges and tasks have the correct source.
