What you can do
Follow receipts by booking
A payment record belongs to a booking and carries a received date, amount, reference and status. Finance Officer sees whether a receipt is Pending, Confirmed or Refunded and compares it with the booking’s posted charges. The reference connects the operational record to the payment source used by the customer. A booking can have more than one payment, so the review follows every linked record.
The distinction between a recorded payment and a confirmed one matters during completion. The final booking review uses confirmed payments against charges, and agrees how to handle any remaining amount. Payment status should reflect the provider’s actual confirmation. Completing kitchen use does not itself confirm a receipt.
How the work is organized
- Receipt identity. Keep each payment number and external reference with its date and amount.
- Booking link. Attach every receipt to the booking whose charges it addresses.
- Status review. Separate Pending, Confirmed and Refunded amounts.
What to agree during setup
Finance Officer should know which provider or bank statement supplies confirmation and who may change payment status. Agree how the reference is entered, how partial payments are reviewed, and how a refund is matched to the booking. If a receipt arrives outside this app, set up a connection or controlled entry step that preserves its source reference.
Decide how the team will handle an outstanding balance before completion. The operational completion decision belongs with Property Manager, while Finance Officer owns payment records and charge reconciliation. Operations Reviewer can inspect linked evidence. The kitchen can finish physical service with the financial position still explicit.
Check the handoff on an actual case
A client pays part of a booking before the kitchen session. Finance Officer records the amount and provider reference against the booking. The payment stays Pending until confirmation arrives. After confirmation, Finance Officer changes its status and compares the amount with posted booking and add-on charges. Another payment after service becomes a separate linked record.
When Property Manager prepares to complete the booking, the team checks confirmed receipts. If they cover charges, completion has a clear financial trail. If some amount remains due, Finance Officer and Property Manager must agree how to handle the remaining amount. If a confirmed receipt is later refunded, Finance Officer records Refunded and reviews the booking position again.
