What you can do

Price kitchen time clearly

Rate plans describe a kitchen type, effective start and end dates, a slot rate and minimum slots. Property Manager can use them while quoting kitchen time. The booking itself holds the chosen slot rate, so staff can see the amount used for that client and interval. If a plan changes later, the booking still carries its rate for review.

Booking charges are separate records linked to a booking. Each has a usage date, description, amount and status. Finance Officer can keep a draft while checking source work, post an eligible charge, or mark it Voided when an item should not remain in the active position. The charge number gives a specific item to discuss with the client.

How the work is organized

  • Rate basis. Compare kitchen type and effective dates with the booking interval.
  • Booked rate. Keep the selected slot rate on the booking.
  • Charge ledger. Put dated usage and a description on each charge, then follow its status.

What to agree during setup

Agree what a slot means, how minimum slots affect a booking, and who may alter the booked rate. Property Manager manages rate plans and bookings. Finance Officer manages charges and should have a clear source for the amount entered. If the team changes a price after confirmation, it should review linked charges before posting them.

Decide what evidence Finance Officer needs before a charge becomes Posted. The booking may have service tasks or add-ons that explain activity, but a booking charge is its own financial item. Specify how duplicate entries are spotted and how Voided items appear in reports. A void should remain visible in the booking history.

Check the handoff on an actual case

A client reserves a kitchen for a planned interval. Property Manager checks the rate plan for that kitchen type and records the agreed slot rate. After kitchen time is delivered, Finance Officer creates a dated charge with a description that identifies the usage. It stays Draft while its source is reviewed. After the amount is accepted, Finance Officer posts it. If entered twice, the extra item can be Voided.

Now consider a late schedule adjustment. Property Manager checks the changed interval and rate plan period, then tells Finance Officer which charge needs review. Finance Officer compares the booked rate, charge date and amount, and eventual payment position. The record chain stays attached to the booking even with several charges.

What your team sees

  • Rate Plan Calendar — Kitchen types, effective windows, rates and minimum slots.
  • Draft Booking Charges — Items waiting for review before posting.
  • Posted Booking Charges — Active charge amounts by booking for reconciliation.

Follow the work through

Charge and payment review follows amounts through the receipt position. Request and confirmation covers the earlier rate decision.
