What you can do

Know what can be booked

A property may offer rooms, suites, venues, tables and treatment rooms. Each resource has a name, type, capacity and operational status. The property manager maintains that inventory so a reservation can point to the actual resource the guest will use. An available resource is a candidate for booking; the booking dates still need review against other stays. Cleaning and maintenance states call for a separate readiness decision before another guest is assigned.

Rate plans hold a resource type, effective start and end, nightly rate and minimum stay. The booking itself stores its nightly rate. This lets the property team review what price was recorded for a guest without assuming a later rate-plan edit changed an older reservation. Agree how to apply a plan when a stay crosses date boundaries or a guest requests a different resource.

How the work is organized

  • Resource inventory. Use the resource name and unit code to distinguish bookable spaces with similar descriptions.
  • Readiness. Keep operational status visible to staff who need to decide whether a unit can receive a guest.
  • Rate periods. Compare the requested stay with dated plans for the relevant resource type and minimum nights.

What to agree during setup

Property management should define resource types consistently across resources and rate plans. Decide who updates capacity and who changes a resource between available, occupied, cleaning and maintenance. Set a procedure for checking overlapping confirmed stays; a status label alone cannot show an interval conflict. Establish the source of the nightly price and the circumstances in which a manager may revise the booking rate.

Check the handoff on an actual case

A family asks for a suite for a weekend stay. The property manager checks the suite’s capacity, sees whether its status permits use, compares the booking interval with other reservations and reviews the dated rate plan. The requested booking records the suite and nightly rate. On arrival, the resource can be marked occupied. After checkout, staff can mark it cleaning while the assigned service request is completed, and then return it to available when the property team has reviewed readiness. The sequence keeps the next booking decision tied to an identified unit.

What your team sees

  • Resource Readiness — Review bookable spaces that are available, cleaning or under maintenance.
  • Rate Plan Calendar — Compare active plan dates, resource types and minimum stays.
  • Arrival Schedule — See which resources are connected to upcoming stays.

Follow the work through

Use reservation review to connect a resource to a stay, then arrival and service for occupancy and service work.
