What you can do
Move from planned capacity to actual entry
The event holds its capacity; admission lines hold the quantity reserved for attendees and the time of reservation. When an attendee is admitted, the line records the admission time. The event calendar brings these together through a capacity strip and admission-hour bars, while the selected event’s detail remains available below. The Admissions Coordinator can read the actual admission history without confusing a reserved place with someone who entered.
A reservation for an open event is guarded by the event’s current revision, the actor’s organization and scope, and a stable operation key. The workflow considers a reservation completed only when verified provider capture evidence exists. On admission, it records the admitted time exactly once. A repeat action must return to the existing effect rather than create a second admission. These checks matter when a scan is retried or when an organizer changes capacity while reservations are being handled.
How the work is organized
- Event capacity. The event provides the ceiling and current lifecycle state.
- Admission line. Each line carries its attendee reference, quantity, reservation time and admission time.
- Guarded result. An operation receipt records the expected revision and result of the reservation or admission action.
What to agree during setup
Choose the format of attendee references and decide how quantities are entered for group admissions. Agree who can reserve, who can admit, and how staff resolve a duplicate scan. Connect the payment provider and define which capture evidence is authoritative. Rehearse a capacity change during active reservations so staff know when to refresh the event detail rather than rely on an older screen.
Check the handoff on an actual case
Open an approved company event with a known capacity. Reserve a small group, check its line quantity and reservation time, and attach verified provider capture evidence. Admit one attendee and inspect the admission time. Retry the same admission action and confirm the timestamp is unchanged. Then attempt a reservation beyond the remaining capacity and review its operation receipt. At closeout, compare the admitted quantity with verified captures, keeping the reserved and admitted measures distinct.
What your team sees
- Admission log — Reserved lines, attendee references and the admission time when entry occurs.
- Open events — Events available for admission activity with their capacity and venue.
- Receipt exceptions — Guarded actions that failed or need review.
Follow the work through
Follow admission to closeout and operation reconciliation. Use integrations when defining provider evidence.
