What you can do

Read the provider result separately

Payment evidence belongs to an event and carries a provider event identifier, evidence type, amount, occurrence time, verification state and provider reference. The types distinguish authorization, capture, refund and void. The Finance Reviewer can inspect that record beside admissions and operation receipts rather than inferring money movement from an event or budget status.

A verified capture is needed for a reservation to count as completed. At event closeout, admitted quantity is reconciled with verified provider captures. Cancellation may prepare reviewed refund evidence for executed scope, but a prepared refund is not the same as confirmed movement from the provider. The provider reference and verification state are the evidence to inspect before the team reports a payment effect. A verified authorization still is not a capture, so finance checks both the evidence type and verification state when matching it to a reservation.

How the work is organized

  • Provider event. The external identifier and provider reference tie the local evidence to the payment source.
  • Evidence type. Authorization, capture, refund and void remain separate events in the record.
  • Verification. The verified state distinguishes a checked provider effect from an unverified local record.

What to agree during setup

Choose the provider source used for verification and decide who may mark evidence verified. Agree how duplicate provider events are recognized, what currency treatment applies to the recorded dollar amount, and how a refund request is reviewed. Document where finance staff inspect the authoritative provider result when a local record and provider state differ. Keep the event owner informed of discrepancies before an event is closed.

Check the handoff on an actual case

Take an open event with a reserved admission line. Record an authorization and a capture as separate provider evidence. Verify the capture against its provider reference and confirm the reservation can complete. Change the capture to an unverified case in a separate rehearsal and confirm it does not count as completed. Cancel executed scope and inspect the pending refund evidence and reviewer decision before recording any completed movement. Finally, compare admitted quantity with captures at closeout and route a mismatch for review.

What your team sees

  • Verified captures — Verified capture evidence for financial review, with amount and event reference.
  • Receipt exceptions — Operations whose expected effects differ from the linked evidence.
  • Admission log — The reserved and admitted lines being reconciled.
