What you can do
Check the whole assignment interval
An assignment connects a load to a specific driver and vehicle for a defined start and end. Admin maintains that commitment, and Transport Supervisor checks the evidence supporting it. A driver listed as active still needs eligibility covering the work. A vehicle listed as Ready still needs an available interval and acceptable defect evidence.
Use driver and vehicle codes to keep the selection precise across shifts. The external authority reference points to the source used for driver eligibility; the external fleet identifier helps staff reconcile vehicle information with their fleet records. App Administrator maintains these roster details while the operating team checks their relevance to the load being planned.
How the work is organized
- Driver eligibility. Check active state and the eligibility end date against the assigned interval. Follow the authority reference when a credential needs confirmation rather than relying on a familiar driver’s name.
- Vehicle suitability. Compare equipment class and capacity with the load requirements. Review readiness and critical defect evidence together, including the repair evidence and release time that support a return to use.
- Time commitment. Admin maintains Held and Confirmed assignments with explicit start and end times. Check both the driver’s and the vehicle’s commitments before accepting the interval for dispatch.
What to agree during setup
Agree how driver authority and fleet records reach the operating team. Establish who checks eligibility changes before dispatch and how quickly a new defect reaches the planning process. A historical critical defect and an unresolved critical defect require different treatment; define the release evidence and timing that staff must inspect.
Choose a consistent interpretation of assignment start and end, including the operational time needed around pickup and delivery. Define how the same driver or vehicle is checked across simultaneous requests. Use stable codes and references so an imported roster update does not quietly create another copy of a resource already committed to work.
Check the handoff on an actual case
Use a driver whose eligibility ends before the requested assignment finishes. Transport Supervisor identifies the conflict and asks Admin to select an eligible driver or change the operating plan. Repeat with an eligible driver whose vehicle is already Confirmed on another load during the requested interval. The new commitment must wait for a valid alternative.
Then inspect a vehicle with a critical defect history. Admin brings the repair evidence and release time into the review. The supervisor checks whether that evidence applies before the intended assignment and whether any critical defect remains unresolved. Do not treat the existence of a release date as sufficient without understanding the event it describes. Rehearse concurrent assignment requests and confirm that only a nonoverlapping commitment succeeds.
What your team sees
- Assignment schedule — Held, Confirmed and Dispatched assignments with their driver, vehicle and occupied interval.
- Driver eligibility — Active drivers with their eligibility date and authority reference.
- Critical defect evidence — Critical defect records with repair evidence and release timing for the supervisor’s assessment.
Follow the work through
Continue with Plan and dispatch. Use Correct and reconcile when a changed assignment affects accepted or executed work.
