What you can do
Give each offer a definite scope
The Quote Specialist starts with a customer, a subject and a quote number that the team can recognize. A validity date defines how long the offer can be accepted. The revision identifies the version of the commercial work being priced and reviewed. Keep these details current before asking anyone to decide on the quote.
For a kitchen refit, the subject should explain the equipment scope in ordinary language. A reviewer needs to distinguish a replacement cooking line from a full kitchen package. Attach the relevant customer request or site document to the quote and choose its visibility deliberately. The resulting draft gives pricing and readiness review the same commercial starting point.
How the work is organized
- Assigned work. The quote owner is a named team member. My Quotes lets the Quote Specialist find their work and check validity alongside its current state. The owner coordinates questions about equipment quantities and customer requirements.
- Revision control. Quote lines belong to the parent quote and carry a revision. Pricing and review requests use the expected revision so a decision cannot silently apply to a newer equipment list.
- Supporting evidence. Attachments carry a title, evidence type, uploader and upload date. Internal or Shared visibility lets the team distinguish working material from evidence intended for a wider authorized audience.
What to agree during setup
Choose a quote numbering convention that the dealer can recognize in conversation and downstream references. Agree how subjects describe the site and scope without depending on the number alone. Establish who resolves a mismatch between the quote revision and the lines being offered.
Set the validity policy before the first live review. The team should know when the customer must respond and who handles an offer that has passed its validity date. Decide what evidence must be attached for an independent review and who may make an attachment Shared. A file title should help another person find the relevant customer instruction without opening every document.
Check the handoff on an actual case
Use a rehearsal quote for a replacement oven and preparation equipment. Have the Quote Specialist select the customer, enter the subject and validity date, and add equipment lines for the intended revision. Attach the customer’s equipment request as Internal while the team checks it. Ask the Pricing Reviewer to explain the scope from the quote and its evidence.
Then change the draft quantity before submitting an earlier pricing request. The old request must be refused when its expected revision is stale. The Quote Specialist should review the changed scope before requesting pricing again. Finally, verify that the current owner can find the quote and that a person outside the authorized organization cannot open its attachments through another route.
