What you can do

Decide the offer the customer will receive

Pricing Reviewer makes the commercial decision on the quote revision in Review. An Approve decision moves that revision to Approved. A Reject decision moves it to Rejected. A Return decision sends the offer back for preparation. Each decision retains its reason, reviewer and source revision with the operation evidence.

Customer acceptance follows the approved offer through a guarded action. Quote Specialist records the customer’s acceptance against the expected revision and validity. The accepted date identifies when that commercial commitment was recorded. An expired offer or an outdated revision stops at the guard so the team can resolve the offer before accepting it.

How the work is organized

  • Independent review. Pricing Reviewer reads the priced lines, customer context and quote evidence before deciding. The workflow checks reviewer independence and expected revision. A clear reason makes the decision useful to the specialist who must act on it.
  • Return or rejection. Return identifies work that needs another preparation cycle. Rejection records a decision against the submitted offer. Keep the original review history available so a changed proposal can be understood in context.
  • Customer acceptance. Quote Specialist records acceptance of the approved, unexpired revision. Confirm that the customer response identifies the offer being accepted and retain its evidence with the quote. Handoff starts from the accepted record.

What to agree during setup

Agree what Pricing Reviewer checks, the reasons required for Return or Reject, and how returned offers re-enter pricing. Set the customer communication routine after approval and decide which acceptance evidence belongs in the quote attachment record. An attachment’s Shared visibility is an evidence setting; arrange any external document delivery through the customer’s chosen connection.

Agree how validity dates are interpreted for the operating organization. Rehearse a response arriving after validity ends and a response referring to an older offer. The team should know who prepares a fresh proposal and who reviews it before another acceptance attempt.

Check the handoff on an actual case

Start with a priced rehearsal quote in Review. Pricing Reviewer compares its revision and amount with the supporting lines and records an Approve decision with a specific reason. Check that the decision points to that source revision and that the quote is Approved.

Quote Specialist then records acceptance of the same valid revision and confirms the accepted date. Repeat the review with the preparer’s identity and an old expected revision. Repeat acceptance with an expired offer. Verify that these attempts stop before recording a valid new decision or acceptance. Use a separate rehearsal offer for Return so the specialist can prepare the correction without losing the earlier reason.

Finish by opening the decision history beside the quote. The team should be able to explain who decided, which offer they decided and what the customer subsequently accepted.

What your team sees

  • Quote Review Queue — Current offers awaiting Pricing Reviewer and their commercial values.
  • Decision History — Approval, rejection and return reasons linked to source revisions.
  • Quote Validity Watch — Offers whose validity date has arrived, with lifecycle state visible.

Follow the work through

Follow approval and acceptance, then handoff and recovery. The roles page explains the separation of preparation and review.
