What you can do

Plan the fixture

The Fixture Coordinator begins with the event subject, the owning team and the member accountable for the day. The venue is selected as the counterparty. Start and end times give everyone the same operating window; capacity sets the limit that registration and admission must respect. A fixture stays in draft while those details are checked. When a change affects a reviewed fixture, the revision identifies the exact version that a reviewer saw.

The calendar shows where planned events overlap and which venue each event uses. A coordinator can select a fixture and read its details below the calendar, including the admission pattern over the event hours. The capacity strip helps the team compare the planned limit with reservations and actual attendance. The selected record is the parent for related work, so a registration or admission line is tied to a known fixture.

How the work is organized

  • Confirm the owner. Assign the team member who will answer scheduling and capacity questions.
  • Set the venue. Check that the selected venue belongs to the operating team and is suitable for this fixture.
  • Agree the limit. Set capacity before registration opens and review any later revision against existing commitments.

What to agree during setup

Agree how far in advance fixtures move from draft to review, who can make a scheduling change after approval and how the association resolves a venue conflict. Decide what evidence the reviewer needs to see. Keep the fixture subject and record number recognizable to staff who will work at the venue.

Check the handoff on an actual case

For a Saturday match, the coordinator enters the owning team, venue, start and end, owner and capacity. The reviewer sees the fixture at its current revision and records a decision. Once approved, the coordinator opens it. If the venue changes after a registration has been submitted, the coordinator checks the registrations and admission claims before asking for another decision. A later cancellation retains the admitted history and the operation receipt that explains what happened.

The event calendar and selected-record detail should lead to the same fixture identity. When a coordinator moves between dates, the related registrations and admissions belong to the selected parent. That prevents a capacity discussion for one match from being confused with the lines for another event.
