Who it's for

Multioffice design firms

A firm with several organizations needs to know which entity owns each client account and proposal. The organization reference on accounts, opportunities, design RF ps and team members gives the pursuit a consistent practice context. A principal can then ask the owner of the specific opportunity for its next client step.

How Architecture Firms CRM is set up for you

Entity ownership

Confirm the practice organization before the team opens a fee pursuit or design RFP.

Staff mapping

Link each team member to a user and organization, with the active state kept current.

Opportunity ownership

Assign the person responsible for the client decision and expected close date.

Review evidence

Keep the reviewer and source revision on an independent decision under the same parent pursuit.

A firm with several organizations needs to know which entity owns each client account and proposal. The organization reference on accounts, opportunities, design RF ps and team members gives the pursuit a consistent practice context. A principal can then ask the owner of the specific opportunity for its next client step.

Start with a pursuit where one office originated the client contact and another office prepares the proposal. Record the firm entity that will own the opportunity and link the right client account. Assign the opportunity owner explicitly. Let the proposal coordinator create the RFP under that pursuit, with the organization checked before submission. Ask the reviewer to inspect the submitted revision and supporting file from the opportunity record.

Rehearse a correction before submitting. If a colleague changes the draft's budget, the coordinator's earlier expected revision should no longer be accepted as the submission version. The coordinator should reopen the current RFP and check any persisted operation receipt before retrying. That check gives the office handoff a concrete point of control when multiple people touch the same bid.

Agree the staff mapping and access rules before wider use. The organization field provides the record relationship; the team still has to configure who may view and change each firm's work. [Roles](/crm-for-architecture-firms/roles) describes the operating handoff. [Design RFP submission](/crm-for-architecture-firms/processes/design-rfp-submission) gives the rehearsal path.
