What you can do

Make the next customer decision visible

Relationship Owner prepares an opportunity for a vehicle sale or service inquiry with a subject, customer account and dealership organization. The record has a human-readable number, expected close date, expected value in USD and a revision. Its owner remains visible as the conversation moves from New toward qualification, proposal and a final customer outcome.

The pipeline distinguishes Qualified, Proposal and Negotiation work. Those states should describe what has happened with the customer. Qualification needs existing evidence, a proposal needs reviewed scope, and negotiation should be recorded only when negotiation has actually started. Sales Manager uses the opportunity’s current revision to review protected changes without confusing a newer customer request with the scope previously considered.

How the work is organized

  • Owned follow-up. Keep the responsible Relationship Owner and customer account attached to the opportunity. The expected close date gives the team a reason to discuss the next step without treating a forecast date as a customer commitment.
  • Stage evidence. Use relationship activities and attachments to explain qualification and proposal readiness. A short call outcome can be useful evidence when it states the customer’s actual request and the agreed follow-up.
  • Customer outcome. Record Won with its outcome date or Lost with its reason after the independent review. Preserve the earlier expected value and activity history so the team can explain what changed during the conversation.

What to agree during setup

Agree what evidence qualifies a customer inquiry for your dealership and who owns each opportunity. Decide how the team maintains expected close dates and probability estimates. The expected value is expressed in USD; if a dealership operates in another currency, agree the input convention or a connection that supplies a reviewed USD value.

Discuss the difference between proposal preparation and an actual negotiation. Sales Manager should be able to recognize the customer event that justifies the latter. Establish how owners request a correction after a reviewed change and how the team checks an uncertain action result. A pipeline review is more useful when stage names and dates have the same meaning across staff members.

Check the handoff on an actual case

Create a New opportunity for a customer considering a used hatchback with an expected value of USD 18,500. Relationship Owner records the customer’s needs and the outcome of the first call. Submit qualification with that evidence and confirm the opportunity moves to Qualified with a corresponding receipt. Prepare a proposal for the current scope and let Sales Manager review the exact revision.

Now change the customer’s request before repeating the proposal action from an older revision. The stale request must stop rather than apply a decision to the newer scope. Continue with a fresh review and record Negotiation only after the customer has begun that discussion. Finish the rehearsal with either verified acceptance or a specific loss reason and confirm that the original expected value and calls remain available.
