What you can do
Record the conversation that supports the decision
Relationship Owner logs a Call, Meeting, Email or Task against the customer opportunity. The activity carries a line number and revision, with due and completion dates and an outcome. This creates a working history that Sales Manager can read when deciding whether qualification, a proposal or a customer outcome has enough supporting evidence.
The activity action requires a useful outcome and refuses closed opportunities. That boundary keeps routine follow-up tied to active customer work. A logged email describes the communication recorded by the owner; the team should still agree any connection that brings messages from its email system. Calls and meetings are valuable when their outcomes identify what the customer actually said and what the owner will do next.
How the work is organized
- Conversation type. Select the activity type that describes the work performed. A task can hold an agreed next action, while a call or meeting outcome records the conversation that prompted it.
- Timing and completion. Use the due date to support the follow-up discussion and the completion date to explain what has been done. Review both when a due-date list includes earlier work that is already complete.
- Decision evidence. Keep the activity attached to the correct opportunity and current revision. Qualification and closure checks can then inspect the history associated with the customer scope being considered.
What to agree during setup
Agree the minimum useful outcome for common dealership conversations. For a vehicle inquiry, that may be the customer’s preferred vehicle and the next discussion they accepted. For a service inquiry, record the requested follow-up without treating it as confirmation that an appointment has been booked in the service system.
Decide how owners use due and completion dates and how Sales Manager reviews activities before a protected decision. Keep the distinction between a factual customer statement and the owner’s interpretation clear. If the team needs mailbox synchronization or reminders outside the app, agree that connection separately and decide who corrects an activity linked to the wrong opportunity.
Check the handoff on an actual case
Relationship Owner calls the hatchback prospect and learns that the customer wants to inspect the vehicle on Friday morning. Record a Call with that outcome and a follow-up Task for confirming the test-drive request. Sales Manager should be able to read the history and explain why the opportunity is ready for qualification without asking the owner to repeat the conversation from memory.
Attempt to save an activity with an empty outcome and confirm the action stops. Then record the meaningful outcome and inspect the allocated line number and current revision. Close a rehearsal opportunity through the reviewed outcome process and try to append another routine activity. That attempt should stop as well. Agree the correction or further-inquiry procedure before the team tries to use an old closed opportunity for new customer work.
What your team sees
- Activity Follow-up — Due-dated activity with completion and outcome fields available for the owner discussion.
- New Qualification Queue — New opportunities whose conversation history needs to support qualification.
- My Opportunities — The owner’s opportunity context for selecting the correct customer work.
Follow the work through
Start with qualification and follow-up, then prepare a test-drive request.
