What you can do
Give each property conversation an accountable owner
A property opportunity starts with the party the brokerage serves. App Administrator maintains the buyer and seller accounts, including the contact name, address and eligibility note. Relationship Owner selects the appropriate account when preparing an opportunity so later calls, visits and proposal evidence belong to the correct commercial relationship.
Account codes help distinguish parties with similar names. The organization link establishes the brokerage context, while active membership identifies the staff who work within it. A familiar contact name is insufficient when the same workspace contains separate brokerage organizations.
The opportunity carries its assigned owner as a reference to a team member. That person follows the relationship through qualification and the customer’s eventual decision. Admin maintains platform account access; App Administrator maintains the membership and account records used by the operating team. Neither setup responsibility supplies the independent commercial approval required from Sales Manager.
How the work is organized
- Party eligibility. App Administrator keeps the account active state and eligibility note current. Relationship Owner checks the intended buyer or seller before attaching a new opportunity to the account.
- Assigned responsibility. The opportunity’s owner is a real team member with an authenticated platform identity. My Opportunities uses that relationship to show the signed-in person’s assigned work.
- Organization context. Account, opportunity and membership records retain their brokerage organization. Evidence and review actions must remain within the same authorized operating scope.
What to agree during setup
Agree how account codes distinguish a buyer, seller or business represented by the brokerage. Use contact names and addresses that the team can recognize without replacing the actual account relationship with free-form notes. Decide who maintains eligibility information when the relationship changes.
Name the Relationship Owner and Sales Manager for the pilot. Confirm that their platform accounts map to the correct team memberships and that the reviewer remains distinct from the person preparing the commercial evidence. Agree the organization time zone used when discussing expected close dates and viewing arrangements.
Check the handoff on an actual case
Rehearse a buyer looking for a family home. App Administrator prepares the active buyer account and confirms its eligibility note. Relationship Owner creates the opportunity with an expected close date and USD expected value, then records the first conversation against that selected parent.
Try choosing a similarly named account from another brokerage organization. The authorized action must refuse that scope rather than attach the conversation to the wrong party. Next, inspect My Opportunities using the assigned owner’s account and a different staff account. The ownership relationship should determine whose work appears; a matching display name must not substitute for the real platform identity.
Sales Manager should be able to identify the account and responsible owner before reviewing a proposal. The rehearsal succeeds when the commercial history can be followed from the right account without searching a separate conversation for the intended customer.
