What you can do
Make each stage reflect the customer conversation
Relationship Owner prepares a New opportunity with the account, expected close date and USD expected value. Qualification requires existing evidence about the relationship. The guarded action checks the acting identity and current revision, records the supporting activity and moves the opportunity to Qualified with an operation receipt.
Proposal and Negotiation carry different meanings. A proposal records the scope presented for independent review. Negotiation is used only when negotiation has actually started. A stage should therefore explain a real event in the customer relationship rather than act as a convenient way to make a pipeline board appear further advanced.
Operations Overview brings the authorized pipeline together with review readiness and operational exceptions. Sales Manager can use that context to find opportunities needing attention, then inspect the underlying activity and receipt. The opportunity’s probability is recorded planning information; it does not establish customer acceptance.
How the work is organized
- Initial qualification. Relationship Owner provides existing qualification evidence and requests the action for the current revision. The recorded activity explains why the opportunity became Qualified.
- Commercial follow-up. Expected close date and expected value give the team a consistent way to discuss upcoming work. Due activities record the next relationship action under the same opportunity.
- Evidence-led movement. Proposal review, actual negotiation and verified outcomes use their guarded paths. Operation receipts retain the requested action and revision for later investigation.
What to agree during setup
Agree what evidence is sufficient to qualify a buyer or seller relationship. Use a real type of customer conversation from the brokerage, and decide how Relationship Owner records its outcome. Avoid relying on a stage name alone to explain why work should proceed.
Set the meaning of expected value for the team and keep it consistent in USD. Agree how probability is maintained and who follows up when an expected close date passes. Listing asking prices and opportunity expected values serve different purposes, so a report should not add them together as though they were separate revenue amounts.
Check the handoff on an actual case
Rehearse a buyer’s first call about a property search. Relationship Owner logs the useful qualification evidence and requests the current opportunity’s qualification action. Sales Manager should be able to follow the resulting Qualified stage back to the recorded conversation and its operation receipt.
Change the opportunity after retaining an older request for the rehearsal. That stale request must not overwrite the current revision or move a different version forward. Then prepare a proposal and confirm that it does not become Negotiation until an actual negotiation event has been recorded.
Finally, inspect an opportunity whose expected close date has passed. Relationship Owner should see the stage and next activity before deciding the follow-up. An old date alone must not be confused with a lost customer outcome or a completed transaction.
