What you can do

Preserve the context behind the next decision

Relationship Owner records a Call, Meeting, Email or Task activity against an opportunity. The outcome explains what happened or what the next step requires. Due and completion dates help the team discuss the follow-up, while the activity remains attached to its own opportunity throughout the relationship.

Supporting files also belong to the opportunity. An attachment carries a title, evidence type, upload date and the person who uploaded it. Internal and Shared visibility distinguish the intended audience for the file. Sales Manager uses the relevant activity and document evidence when reviewing qualification, a proposal or a customer outcome.

How the work is organized

  • Activity outcomes. Record a useful outcome when adding an activity. The logging action associates it with the current opportunity version and its place in the history. An empty outcome leaves the next person without the context needed for review.
  • Dated follow-up. Use the due date to organize the next conversation and the completion date to identify work already finished. Check both when reviewing a due-date list so completed activity is not mistaken for an outstanding task.
  • Evidence files. Give each attachment a recognizable title and evidence type. Confirm the parent opportunity, uploader and intended visibility before the file is used in a review or shared with another participant.

What to agree during setup

Agree the outcome detail the team expects for each activity type. A short factual note can be more useful than a long summary that does not state the next decision. Decide who records completion and how owners review activities whose due dates have passed.

Set the meaning of Internal and Shared file visibility for the organization. Check access to the attachment itself as well as the record holding it. Agree how proposal and acceptance evidence will be titled so Sales Manager can find the intended file. Keep the relationship history available when an opportunity closes, and use the agreed correction process for later changes.

Check the handoff on an actual case

An owner records a customer meeting outcome and a follow-up task on an open opportunity. The meeting entry has its completion date; the next task has its due date. Sales Manager can distinguish the completed discussion from the work still being prepared by checking those dates and the outcome text.

The owner uploads a proposal file with a clear title and intended visibility. During rehearsal, attach a file to a similarly named opportunity and have the reviewer identify the wrong parent before using it as evidence. Then confirm that a person outside the authorized organization cannot retrieve the file.

Finally, close the practice opportunity and try logging an ordinary new relationship activity. The logging path refuses closed opportunities. Preserve the completed history and route a genuine correction through the responsible review process rather than reopening the activity trail informally.

What your team sees

  • Completed Activity History — Completed entries retain the activity type and outcome for the relationship review.
  • Activity Due Dates — Due and completion dates support follow-up planning on each opportunity.
  • Evidence Register — Supporting files show their title, type, visibility and uploader.
