What you can do

Build the charge against the booking

A folio charge has a booking, description, amount, date and status. Finance Officer uses the booking link to see the member and session behind the amount. The draft state keeps an unreviewed line distinct from a posted one. If a line is voided, it should remain recognizable as part of the booking’s financial history rather than disappear from a total without explanation.

Each folio line is a charge against a booking. The separate set of dated rate plans helps define an offering through its price and minimum term, while an individual booking holds its own daily rate. The team should distinguish a rate plan from a posted charge when reviewing a member’s account.

How the work is organized

  • Draft. Finance Officer prepares a description and amount on the intended booking.
  • Review. Operations Reviewer examines the evidence and authorizes an eligible outcome.
  • Posting. Finance Officer posts the accepted line and includes it in the booking reconciliation.

What to agree during setup

Agree when a nightly rate becomes a folio line, who can prepare it, and what evidence the reviewer needs for a charge. Decide how a disputed line is voided and how the member receives an explanation. Keep the original booking and charge number when correcting a mistake so Finance Officer can reconcile the difference. A revised amount needs review of that amount, not a copied decision on an earlier draft.

The confirmed payment list answers a different question from the posted folio list. One shows money received; the other shows what was charged. Compare them by booking before completion, including any explicit outstanding account. Do not change a pending payment to confirmed merely because the charge has posted.

Check the handoff on an actual case

A member books a session for several nights and uses an additional service during the stay. Finance Officer prepares the room charge and service amount as separate draft lines on the same booking, each with a description the reviewer can understand. Operations Reviewer examines the evidence for the extra amount. The accepted lines are posted, and Finance Officer compares their sum with confirmed payments on that booking.

If the extra amount is disputed, it remains distinguishable from the accepted room charge. The team can void an eligible line while preserving its booking connection. The desk sees the completed booking only after the financial handoff has been considered; completion itself does not confirm a receipt.

What your team sees

  • Draft Folio Charges — Review amounts and descriptions before posting.
  • Posted Folio Charges — Compare accepted charges with the booking’s receipts.
  • Pending Payments — Find money still awaiting external confirmation.
