What you can do
Treat the session as the working resource
A session record represents the unit or resource a member books. Its number, type, capacity and current status give Property Manager a way to decide what can be offered. The booking supplies the dated interval; the session supplies the resource and its readiness. Both matter. A session shown as open still needs a date-overlap check, and a session being cleaned should not be promised merely because a prior booking has ended.
The session can move through in-progress, cleaning and maintenance states. The team uses those states to distinguish occupied work from turnover and repair. Front Desk Agent sees the linked booking during the visit. Property Manager follows the handoff into cleaning and then verifies inspection before making the session open again.
How the work is organized
- Inventory. Keep the session type, number and capacity accurate for booking decisions.
- Occupied work. Link an attended booking to the session so desk and service staff share the same resource context.
- Readiness. Use cleaning tasks and inspection to support the return from cleaning to open.
What to agree during setup
Agree which resources can be booked, the meaning of capacity, and who can change a session’s state. A group booking should be measured against the same unit of capacity used on the session record. Decide how the desk learns that cleaning is complete and what evidence counts as a passed inspection. Maintenance needs an owner who can resolve the issue before new commitments are made.
The schedule shows confirmed and attended intervals with start and end dates. Review it with the current session state, especially when an arrival follows a departure closely. A free interval in the calendar does not itself mean the prior cleaning has been completed. A cleaning label alone does not prove an inspection passed.
Check the handoff on an actual case
A member departs on Tuesday morning and another booking starts later that day. Front Desk Agent completes the departing booking. The session moves into cleaning, and the cleaning task remains visible to Property Manager. A staff member records the task’s progress and completion. Property Manager checks the inspection result, then returns the session to open. The next arrival can be handled with both the interval and the resource readiness in view.
If a maintenance issue is found instead, the team leaves the session unavailable while the issue is addressed. The next booking must be reviewed against another suitable session or a revised date. Changing a calendar entry without resolving the resource state would give the desk a false handoff.
