What you can do

Keep service bookings with the reservation

A Front Desk Agent can record a restaurant or spa booking against the selected reservation. The booking includes an outlet type, start time, guest count and descriptive name. Linking it to the reservation allows staff to check who requested the service and which stay is affected if the guest changes plans.

How the work is organized

  • Working record. The Property Manager can use the same linked record to coordinate service demand. Staff should compare the booking’s guest count and start time with the conversation they had with the guest. A venue booking is a service request tied to a stay; it does not by itself create a charge. Finance Officer records any related outlet charge separately against the reservation.
  • Decision point. The named owner checks the linked reservation and current state before changing the next record. Keep the guest, unit and amount on the record where the decision is made.
  • Handoff. Use the reservation reference to carry the outcome to the next team. The next owner can check the same stay without rebuilding the story from messages.

What to agree during setup

  • Booking identity. Agree when staff use Restaurant or Spa and how they name a booking clearly.
  • Guest count. Check the booked party size with the guest before staff prepare the service.
  • Charge handoff. Decide what evidence Finance Officer needs before recording an outlet charge.

Check the handoff on an actual case

Take a party staying in a booked unit who asks for a restaurant table at a particular time. Front Desk Agent selects the reservation, chooses Restaurant, records the time and guest count, then checks the linked stay. If the party also books a spa visit, make a separate booking with Spa so staff can see both appointments without treating one as the other.

Review both a normal case and a correction. Confirm the guest, assigned unit and reservation reference at each step. If a staff member finds a wrong amount, date or recipient, resolve it before the next owner treats the work as complete. This rehearsal establishes who changes the record and who checks the result.

The booking’s descriptive name can identify the requested service, while Restaurant or Spa identifies its outlet type. Staff should check the start time against the guest’s stay dates and confirm the party size with the guest. If the guest changes the visit, Front Desk Agent corrects the linked booking and tells Finance Officer when a related outlet charge needs review. The booking itself carries no payment or charge status.

What your team sees

  • Restaurant and Spa Bookings — Bookings grouped by outlet type and linked stay.
  • Active Reservations — The underlying stays that service requests belong to.
