What you can do

Set the capacity people actually sell

A Property Manager maintains the bookable unit, its type, number and capacity. Available, Occupied, Cleaning and Maintenance describe the state staff need when assigning a reservation. The selected unit also carries through to service tasks, so work on a room or venue can be read with the stay it affects.

How the work is organized

  • Working record. Rate plans hold a unit type, start and end dates, nightly rate and minimum nights. The Property Manager reviews the applicable plan while setting the reservation’s nightly rate. Keep rate decisions and unit availability separate: a price that fits the date does not mean the chosen unit can take the party. Confirm the unit’s capacity and the reservation interval before promising the stay.
  • Decision point. The named owner checks the linked reservation and current state before changing the next record. Keep the guest, unit and amount on the record where the decision is made.
  • Handoff. Use the reservation reference to carry the outcome to the next team. The next owner can check the same stay without rebuilding the story from messages.

What to agree during setup

  • Unit identity. Agree how unit codes, numbers and types are entered so staff choose the intended resource.
  • Rate period. Decide which dated plan applies when arrival dates meet a change in pricing.
  • Turnaround ownership. Assign who moves a unit through Cleaning and back to Available.

Check the handoff on an actual case

Consider a party of four arriving during a new rate period. Compare the proposed unit’s capacity with the guest count and check the dated rate plan for that unit type. If a unit is in Maintenance, select another resource before confirming the reservation. After departure, keep it in Cleaning until the related task is completed and a manager checks that it is ready.

Review both a normal case and a correction. Confirm the guest, assigned unit and reservation reference at each step. If a staff member finds a wrong amount, date or recipient, resolve it before the next owner treats the work as complete. This rehearsal establishes who changes the record and who checks the result.

A dated rate plan guides the nightly price, while the reservation stores the rate actually used for that stay. When a guest changes dates, Property Manager checks the applicable period and minimum nights again. The manager also checks the unit’s live status and overlapping reservations. A matching rate plan alone does not reserve capacity, and a unit marked Cleaning must wait for the turnaround decision before another assignment.

What your team sees

  • Available Units — Units whose current state permits the next assignment.
  • Unit Turnaround — Units awaiting cleaning or maintenance attention.
