What you can do
Track every impression, crown and biopsy back to its visit
A lab case belongs to the appointment where it was ordered. It records the case type, such as crown, bridge, denture, aligner or biopsy, the lab’s case number and when it was collected. Its status follows the case: ordered, collected, received, tested, or rejected when the lab cannot use it.
Keeping the case on the appointment means the dentist sees what is outstanding for each patient, and the coordinator can follow up with the lab before the fitting appointment. A rejected case, for example a distorted impression, is visible straight away so the clinician can decide whether a new impression is needed.
The lab’s own case number is recorded so that calls and invoices from the lab can be matched to the right patient without guessing. The exchange with the lab itself, ordering and delivery, runs through your lab’s system or by agreement.
How the work is organized
Licensed Clinician creates and updates lab cases. Agree who contacts the laboratory outside the app.
- On the appointment. Every case belongs to a visit.
- Lab case number kept. Matches the lab’s own reference.
- Rejections visible. A rejected case needs clinician review.
What to agree during setup
List the labs you use and the case types you send to each. Agree who records the lab case number and when a case counts as received and tested. Agree how a rejected case is handled and who recalls the patient. Prepare examples of a crown returned on time, a rejected impression and a biopsy result.
Check the handoff on an actual case
At a crown preparation visit Dr Lim takes an impression. She creates a lab case for a crown as Ordered, then records collection at 11:20 and marks it Collected. The team sends it to the lab through its agreed handoff; Dr Lim records the lab’s case number on the case.
Three days later the lab reports the impression is distorted. The case is marked rejected, Dr Lim sees it on the lab case workboard and asks Clinical Coordinator to arrange a new appointment. The laboratory confirms receipt and testing; Dr Lim records each corresponding case state.
